Scan to Email with 365

Hi all, I just came from a site where a new HP LaserJet MFP 4101 was installed and I was asked to set up scan to email for them. Hey, no problem right !! Big problem, I spent an hour too long working on this. In the end, I could not get a 365 account working with it. We had an Outlook.com email address that we were using for something else so I used that one, created an App Password and bingo, everything worked after that.

So, this isn't the first time I've run into this but it's usually a problem with older equipment and the firmware not being capable of using the new protocols but this is a brand new printer purchased last week. Firmware is up to date on it.

I'm guessing there is a hoop jump with Microsoft 365 and HP printer email setup? Please tell me the secret, I'd love to spend less hours fighting with hardware and software.

    If device firmware does not support TLS 1.2

    and no newer firmware is available for your MFC device then

    • pick either a newer device or
    • lower tenant settings via Exchange admin center > Settings > Mail flow > Security > 'Turn on use of legacy TLS clients'

    ❗ But be aware that this impacts the subscription and should be used as a last resort (if at all).
