Hi all

I'd like to ask some questions regarding the EXO online archive. I have a user that has currently reached the 99GB mark (we're on M365 E3)

I am currently testing the online archive feature before configuring it to the user. While googling online i came across this documentation https://lazyadmin.nl/office-365/outlook-online-archive-for-office-365-explained/#searching-in-online-archive

Here it mentions that folder structure of the inbox is automatically created in the online archive User's image I tried looking for some MS documentation regarding this but was not able to find anything about it. As mentioned, I am currently testing the online archive. I can see the online archive folder in my outlook but i can only see 3 folders in it (Deleted Items, Archive and Search Folders). It hasn't populate with a copy of my current inbox's folder structure

Here are my questions

does this actually happen? copying of inbox folder structure
how long does it take if it does?

By the way, this is my currently policy. The goal is to keep / archive everything hence i removed everything that has delete in it

No emails have been moved. The plan is to use the EXO archive and have emails "moved" from inbox to the online archive via the MRM policy

Just 1 email account per outlook

Nothing to do with public folder or shared folder

It doesn't copy the Inbox structure per se, it simply creates a matching folder for any folder in the "main" mailbox to which you have applied a tag with the Archive action, and for which at least one item has expired. In other words, as items in a folder with Archive tag applied age out, they are moved to a folder with the same name within the Online archive.

The initial processing of the mailbox can take up to a week, especially considering the size in your case. Afterwards, items are moved every 2-3 days (the official SLA is one week for Exchange Online).

Thanks, its been a few days and i can see some emails from 2022 to 2020 moved to the archive folder. still alot not being moved yet as i still can see 2022 emails from my main inbox as well as emails from 2018. i assume this just means it will take some more time?

Given the size of the mailbox, it will likely take some time, yes. In some cases, you might be able to give it a nudge via the Start-ManagedFolderAssistant cmdlet:

Start-ManagedFolderAssistant ******@domain.com

Though this only "signals" the MRM assistant to reprocess the mailbox as soon as possible, it's not a guarantee.

Can i also ask if my MRM policy correct? I would like all emails older than 2 years to be moved into the online archive

I tried googling, about what personal means in the policy. Still a bit unclear to be hone

It's OK. Personal tags allow the end user to "tag" individual items/folders, basically they are used to give some customizability. In your case, the Default tag is what takes care of the "all emails older than 2 years to be moved into the online archive" requirement.

if i were to give another user mailbox access to my mailbox, how does that work?

at the moment, when you give someone access to another user's mailbox (full permissions in EXO) you will see the mailbox as an additional mailbox on desktop outlook. kinda like how shared mailboxes work

what would a mailbox with the online archive enabled look?

It will not appear automatically. You need to add the mailbox as additional account in order to access its Online archive.
