Difference between moving a calendar under another calendar versus moving under a created group?

I'm trying to create a group of calendars in outlook. For example, I have to do Health and Safety checks, drills, meetings, etc. at multiple site locations.

I have created a calendar for each site.

I have created a group labeled "Health and Safety" and want to add all of the individual site calendars to the group to have them overlay each other so they can be separated if needed.

When right clicking the calendar I want to move then selecting "move", the group titled Health and Safety does not exist, making me have to do this instead: Create a folder group called (G represents group and C represents Calendar due to same name) G-Health and Safety, then create a calendar called C-Health and Safety, then Move all of the site location calendars under the C-Health and Safety calendar.

So when you click on "move" it opens a list that has arrows next to each option to expand or collapse things that are "under" that item. With that being said, what does having all of these site specific calendars listed under C-Health and Safety (click expand on Calendar vs of Health and Safety to be able to see all of the sites attached) vs having them listed individually under the Group Health and Safety.

My question is: Can someone please explain how moving calendars under a "group" differs from moving calendars under a specific calendar?

Ultimately I want to create a group titled Health and Safety, group 5 different site specific calendars under the group heading, overlay them all, and then share this overlayed group with the other Health and Safety Members. Please help

    Hi @Samantha Boland

    Welcome to our forum!

My question is: Can someone please explain how moving calendars under a "group" differs from moving calendars under a specific calendar?

The most obvious difference between the two is the difference in permissions. Calendars inherit the group's permissions, which means that all group members can access and edit the calendar.Regarding adding multiple calendars under a group, here are the steps to create a calendar group in Outlook, overlay the calendars, and share them with your team:

    1. Create a Calendar Group. On the Calendar Home tab, in the Manage Calendars group, click Calendar Groups > Create New Calendar Group.>Name your new calendar group (e.g., “Health and Safety”) and click OK.
    2. Add Calendars to the Group. Right click group>>Add Calendar>>Type your calendar site>>Repeat this for each calendar you want to include.

    User's image

3.Overlay Calendar. To see the calendars in overlay mode, do the following: On the Home tab, in the Arrange group, click Day, Work Week, Week or Month. The calendars are arranged side-by-side. Click the View in Overlay Mode arrow on the tab on each calendar that you want to overlay.

For more details, you can refer to: Create, view, or delete a calendar group.
