If your mailbox is hosted in Exchange Online/Office 365, the auto-archive functionality is not available. You can still use File > Open & Export > Import/Export to export to PST as needed. If you need detailed instructions, read here: https://support.microsoft.com/en-us/office/export-emails-contacts-and-calendar-items-to-outlook-using-a-pst-file-14252b52-3075-4e9b-be4e-ff9ef1068f91

2024-09-04T09:20:55.93+00:00 Hello, @Handian Sudianto,
Welcome to the Microsoft Q&A platform!
Based on your description, I understand that you want to know how to export last year's email examples to a folder with the same structure without enabling archiving.
I would like to check with you first to make sure that all of your emails in your target time period are available in your folder. If some of the emails in that period have been deleted and are irrecoverable due to other factors such as inbox rules, then they will not be retrievable and therefore not exportable.
For emails those could be found in the folder during your target period, you could export the folder as a PST file using the “Export” feature on Outlook. For details, please refer to this document: Export emails, contacts, and calendar items to Outlook using a .pst file - Microsoft Support. Some of the key steps and results are shown in the screenshot.
After finishing these steps, you could export your mails examples to pst file with same structure.
Also, if you have a need to enable archiving in Outlook, here is a screenshot of the steps to do it. For more details, you could refer to this document: Description of the AutoArchive feature - Outlook | Microsoft Learn.
