Hi everyone, I want to learn how to access archived emails using Outlook Copilot. Specifically, I want to retrieve information from archived reports when I need to review previous records. How is this possible?

Welcome to our forum!

As far as I know, it is not possible to use copilot to summarize all the emails in a folder at one time in Outlook, you can only click on an email to select the summary. More information, see: Summarize an email thread with Copilot in Outlook.

You can customize your Outlook copilot replies to a certain extent. For example, if you are not satisfied with the response generated, you can adjust the tone of voice, content length, etc.

As for retrieving emails from the In-Place Archive folder in SharePoint, I'm afraid you need to export the emails from their original location and import them into Outlook, and then do the same to summarize the contents of email.

We have a large number of archived emails containing important dates and other critical information. This information is essential when creating new emails or communicating with our clients. We want these emails integrated with Copilot so that all the necessary information is accessible in one place.Could you suggest the best approach for this? Should we use a Copilot Agent, a Custom Copilot Agent, or is there a way to customize Outlook Copilot to meet our requirements?

Outlook's built-in copilot feature is not powerful enough for the time being, and I'm afraid it can't meet your needs.

To retrieve specific information from archived emails or integrate with other data sources, you may need to create a custom Copilot agent. With Copilot Studio, you can build custom agents based on your specific needs. This approach allows you to extend the capabilities of Copilot by adding custom actions, connectors, and data sources.

Accessing archived emails using Outlook Copilot, Copilot for M365 currently only looks at non-archived emails. However, there are a few steps you can take to manage and retrieve information from your archived emails:

Manual Search: You can manually search for archived emails in Outlook by using the search bar. This allows you to find specific emails or reports that you need to review.

Summarize Individual Emails: While Copilot cannot summarize all emails in a folder at once, you can click on individual archived emails to select and summarize them using Copilot

Future Updates: Keep an eye on updates from Microsoft, as there may be plans to include archived emails in Copilot's capabilities in the future

Copilot in Outlook has a button toward the top for "Chat history". If you click that button you can review your past chats.

A few questions:

Are you trying to build your own copilot?

Or do you want to use the built in Copilot in Outlook?

Either way, are you trying to summarize a particular report or summarize multiple reports into a single summary?
