There are three common methods to configure a scanner to send emails via Microsoft 365 Authenticated SMTP, Direct Send and using of Microsoft 365 Connector:
Authenticated SMTP is Best for Most Cases, think of this as the normal email method. Your scanner logs into a Microsoft 365 mailbox just like a regular user would and sends emails securely. so, use it If you want a hassle-free and secure method that just works.
Direct Send is suitable for internal-only emails and works like skips authentication and just sends emails directly through Microsoft 365, seems like dropping a letter in an open mailbox without logging in.
Microsoft 365 Connector is for high-volume scanning or when you want to set up a dedicated email route for your scanner, usually using a static IP address. Use this method if you have Offices with high scanning needs and you are comfortable setting up connectors.
