I have 100gb of documents in a file on SharePoint. I want to organise them into a pre defined folder structure how do I do this with Syntex. I have already activated the Syntex licence in Microsoft 365 Admin Centre

    Hi @adm_Daniel.O,

Thanks for reaching out to us. We are very pleased to support you.

According to the information you provided and the research I have done, I may understand that you need to categorize your documents and move them to the appropriate folder. If there is anything wrong, please correct me.

If there is not anything wrong, it is suggested that you please try the following steps:

    1. Create a custom model.
    2. Train this model to classify your documents. In this step you need to upload some documents as samples to train the model, after which the model will be able to automatically categorize the documents in your document library.
    3. Create an extractor Extract content from your document as a metadata of the document. You need to extract the common content of your similar documents as metadata. This way you will be able to differentiate between your documents.
    4. Apply this model to a document library in SharePoint

Microsoft provides an example of using Microsoft Syntex to identify contract files and extract data. If you are new to this, you can categorize your documents by following this example.

Finally, to automate moving documents to the correct folders based on the metadata or classification tags, you can create a flow in Power Automate.

    1. Set Triggers and Actions:
      • Trigger: Set the flow with manually trigger or with "when a new document is uploaded or modified" trigger in your SharePoint library.
      • Actions: Based on the metadata or classification from Syntex, move the document to the appropriate folder.

If you have any questions, please do not hesitate to contact me.
