While manually exporting mailbox, all the emails are not exported

I have been accessing my outlook.office365 email through Outlook 2016 desktop version (shown as Outlook(classic). When I try to export the mailbox to .pst file, only some emails are exported and some are not. For instance if there are 2000 emails are in my inbox only 1800 or something emails are exported. Why is this happening and what is the solution for it?

    Hi @P&A - Account Department

    Welcome to our forum!

How did you export your mailbox? Could you describe the detailed operation?

Meanwhile, here are some suggestions you may refer to and then try to export again:

    • Storage Space: Ensure you have enough storage space on your computer. If your mailbox is large, insufficient storage can cause incomplete exports.
    • Corrupt Items: There might be corrupt emails or attachments causing the export to fail. Try running the Inbox Repair Tool (Scanpst.exe) to fix any corrupt items. More: Repair Outlook Data Files (.pst and .ost) - Microsoft Support .
    • Cached Exchange Mode: By default, Outlook is set to download email for the past 1 year. If you want to export all your emails, open Outlook, select Account settings>Account Name and Sync Settings and move the slider to All.
    • Export in Batches: Instead of exporting the entire mailbox at once, try exporting smaller batches of emails. This can help avoid errors during the export process.

More information: Export emails, contacts, and calendar items to Outlook using a .pst file - Microsoft Support

    Hope it helps!
