Your mailbox is almost full

Hello everyone

I got a message say "your mailbox is almost full "..but when I am checking in outlook/exchange server there enough space ( at least 3 gb) for this user.

What can I do to fix the problem? To stop the messages?

    Where are you seeing that? In outlook or OWA or both?
    If just Outlook, it could be that the ost is just corrupt. If so, recreate the Outlook profile and create a new ost.

    You need to look at the storage quotas set for the mailboxes and you can learn more about that here

    What's your Exchange sever version? I Agree with the suggestions above, check the configuration of quota for the mailbox first

    Get-Mailbox <Identity> | Format-List IssueWarningQuota,ProhibitSendQuota,ProhibitSendReceiveQuota,UseDatabaseQuotaDefaults,Database  
    Get-MailboxDatabase | select name,issue*,prohibit*  
    

    In on-premises Exchange, the default value of IssueWarningQuota,ProhibitSendQuota,ProhibitSendReceiveQuota parameters are unlimited. When the UseDatabaseQuotaDefaults parameter is set to $true, the value of the these parameters are ignored, and the mailbox uses the IssueWarningQuota,ProhibitSendQuota,ProhibitSendReceiveQuota value on the mailbox database. To use these parameters to enforce a specific quota value for the mailbox, you need to set the UseDatabaseQuotaDefaults parameter to the value $false.

    If you have checked the values above without problem, recreating a new profile for the user will also be a good test to this issue.

    Did you try creating a new profile?
    If you are accessing the shared mailbox from another mailbox then ensure you do not cache shared folders

    Uncheck that option and restart Outlook:

    Red Herring?

    The message I got is coming from the domain ipfs.io. some sort of phishing or am I too paranoid. The email does not look very official with just an assortment of useful looking links. Best to avoid? I don't use outlook on a day to day basis. mostly google workplace or whatever it's called these days
