How to update "Workflow Status" column with the internal status when WF is manually terminated or has error SharePoint 2016?

Hello,

Our case is that we recently upgraded to SharePoint 2016 and I created a list WF using SharePoint Designer 2016.

I noticed that the status column initially gets "step" name when the flag "Automatically update the WF status to the current stage name" and I have an action in the WF to set WF status which I'm already using.

But incase the WF is manually terminated or has error, the internal status is set to terminated but the status is not updated so is there a way to get the WF status updated too?

Hi @Marwa Mostafa ,

There is no OOB way to update the designer 2013 workflow status column manually.

If we uncheck the automatically update, the workflow status column in list will be blank.

Sorry I couldn't reply earlier.

Isn't there a way to display this field of internal status in the list's view? I'm asking because now sometimes, I see the internal status is "Suspended" or "Terminated" because there is an issue in the WF and I don't see this till I click on the WF status to see the internal status so it would be good if there is a way to show the internal status to detect these cases and fix directly if an intervention is needed from my side.

Hi @Marwa Mostafa ,

Yes, I know your request, however this column is a “Hyperlink or Picture” type column in the list with the name same to workflow name, which shows stage name or null, we can not set it to internal status.

I got your point, there is no OOB way to set the WF status column to the internal status but I was asking if there is even a way to show the internal status as a column separate from the WF status but as I understood from your reply, there is no way to do so as well.

I just have one more question, Now I was checking WF status column for some old entries. Once I click on the shown status to see the history, I get the below error:

"We can't find that workflow. Completed Instances are automatically cleaned up after 30 days"

But we are already disabling the job "Workflow Auto Cleanup" and all 2010 WFs have their history kept normally so is there something special to be done for 2013 WFs to keep the history forever or to extend the 30 days duration?
