Sharing Documents between Teams

Hi All,

I looking to see if a document can be uploaded into 2 different Teams and be collaborated on at the same time by the members of the different Teams.

Example,

All of the departments documents are saved in one Team.

A new project is to start and some of the documents out of this Team need input from staff that are not members of the departments Team. we dont want to give access to the Team or create a private channel as we also use the general channel for information which other staff should not have access to.

I'm wanting to have the same file in 2 different teams that updates across both Teams simultaneously when edited in either Team.

Department Team - Project Channel - Windows Upgrade Project File

and

Windows Upgrade Project - Project Documents Channel - Files tab

Can anyone help?

Dear AdamCNTW,

Thanks for posting in the community.

For your concern, it is available to meet your requirement. According to your description, I assume you want the two teams can co-author the file, but you don’t want one of the teams to have permission to access the location where the file is stored, like the SharePoint library or the SharePoint site, just these files.

If so, no need to create 2 different files for the two teams, you can go to the SharePoint site, go to the library, create Folder A for these files, and move these files to Folder A. Select Folder A, click Share, choose Specific people, then share Folder A to another team. After that, that team can only access Folder A and edit files in Folder A. All users will see changes from two teams.

We look forward to your response. Thanks for your cooperation.

Sincerely,

George | Microsoft Community Moderator

Dear Adam,

Thank you for posting back.

For your questions, normally, all team files of one team (in Teams) are stored on the same name SharePoint site. If these files are stored in the File tab of the team, they are actually stored in the Document library of the same name site. For users who are the members of this team, they can view the document directly via the File tab. For users from another team, please let the team owner add the SharePoint Library app to the team. After that, they should also be able to see the shared folder in Teams.

We look forward to your response. Thanks for your cooperation.

Sincerely,

    Hello George,

Thank you for the information, i have got this to work.

Is there any way to show this in Teams and not SharePoint? We don't really show or promote SharePoint to staff instead we utilise Teams for staff to view and share documents.

    Thanks,

    Adam
