Teams Channel shared calendar

My team currently uses a shared calendar that was created under a previous employee. We are looking at recreating it but within our Teams channel so we can have more than one admin in case of turnover on the team. Is this possible? The instructions I see about setting up a Shared Calendar to link to a Teams channel doesn't give me confidence that if I create the calendar and share to the Teams Channel that it will remain even if I ever leave the organization. Can you tell me the steps I need to take to ensure that my shared calendar via a Teams Channel will be step up to accommodate our needs?

    Hi Stephen,

    If my understanding is correct, even if all team members are Owners and listed as Co-organizers for the event, only the original event creator can fully edit recurring meetings in the Channel Calendar. Co-organizers can propose new times but cannot change the date, time, or description of the event.

    Here are some recommended solutions that you could try:

    Use Group Calendars via Outlook

    Channel calendars are tied to the underlying Microsoft 365 Group. You can access and manage these calendars via Outlook with admin privileges.

    • Open Outlook (web or desktop)
    • Go to Groups > Select your Team's group
    • Access the Group Calendar
    • You can edit events here if you have the right permissions

    Use SharePoint Calendar Integration

    For more flexible calendar management, you can create a calendar in your Team’s SharePoint site and embed it in Teams.

    Hello,

    I have a similar issue as Kristen Stars and Stripes. I'm having trouble editing an event saved on the Channel Calendar App.

    1. My whole team are set up as Owners of our MS Team and its Channels.
    2. Under our Team's General channel, I have added the Channel Calendar App.
    3. Within the Channel Calendar App, my colleague created a recurring calendar event.
    4. When creating the event, she added all Team Owners as co-organizers of the event.
    5. I accepted the invitation, but I am not able to edit the event details such as day and time or even description.

    As a test, I created a second event and invited this same colleague (who is also a Team Owner) and listed her as a co-organizer. She has the ability to propose a new time, but not to edit the event.

    This is an issue because when this colleague leaves our team later in the year, we will not be able to edit the events she set up in our Channel Calendar App.

    Any ideas what I could try? Thanks in advance!

    Hi Kristen,

    Thank you for reaching out to Microsoft Support. 

    Fortunately, you can create a shared calendar in Microsoft Teams that remains accessible and manageable even if the original creator leaves the organization. The key here is to tie the calendar to the Team or SharePoint site, not to an individual user account. 

    There are 2 methods that can help you create a Persistent Shared Calendar in Microsoft Teams. 

    Option 1: Use the Channel Calendar App (Simplest) 

    1. Go to your Teams channel (preferably the General channel).
    2. Click the "+" (Add a tab) at the top.
    3. Search for and select “Channel Calendar”.
    4. Name the calendar and click “Add”.

    This calendar is tied to the Team, not to any individual. All members of the Team can view and add events. Admin rights are based on Team permissions. 

    Option 2: Create a SharePoint Calendar and Link It 

    1. Go to the SharePoint site linked to your Team.
    2. Click “New” > “App” and choose “Calendar”.
    3. Name your calendar (e.g., “Team Events”).
    4. Once created, copy the calendar’s URL.
    5. Go back to Teams, click "+", choose “Website”, and paste the URL.
    6. Optionally, connect it to Outlook via “Connect to Outlook” in SharePoint.

    This calendar lives in SharePoint, which is tied to the Team. Admins of the Team or SharePoint site can manage permissions. 

    To ensure longevity, make sure that you: 

    • Use a Team-owned calendar, not one created in a personal mailbox.
    • Assign multiple owners/admins to the Team and SharePoint site.
    • Avoid using personal Outlook calendars for shared team functions.
    • Document the setup so future team members can manage it.
