Delegate cannot see flagged Todo emails.

Hi,

I have two users:  UserExec is an executive, and UserPA is the executive's PA.  UserExec wants UserPA to have access to everything in their outlook.  UserPA is set up as a delegate in Outlook with access to be Editor on every one of the options in the delegation menu (Emails, tasks, calendar, etc).

When UserExec flags an email, it goes to the "To-Do List" Section under Outlook Tasks.  However, UserPA does not see any tasks appear in her Task list, anywhere.

Is there a way UserPA can see the tasks created when UserExec flags an email?

When I check licences on the 365 admin portal, it says they both have the following licences:

Exchange online (plan 1)

Microsoft Teams Exploratory

Any ideas please?

    Hello Ryan_K_V,

Yes, Outlook To do list will not help to view delegated user’s To do list. In simple words, To do list, only view the To Do items of users accounts which are added with his/her user credentials (email id and password) in Outlook.

For this feature, you may submit your feedback on Outlook UserVoice site. We set that forum to collect your votes using feedback for Outlook, and the development team will check your suggestion there and may consider to develop it. We would think highly of each customer’s feedback on our product and we appreciate for your precious suggestion on how we could improve our products. Your voice helps to improve our product.

Hi Ankita, thank you for your reply.

I'm sorry, but I've read through your message multiple times, but it just doesn't make any sense and I don't undestand what you are trying to say.  Are you saying that as far as you are aware what I am hoping to achieve is not possible?

    Hello Ryan_K_V,

Thanks for posting back. Based on your requirement we have performed multiple test with engage our senior and found that To do list not view data of delegated user which is added in Outlook with automating and with select open additional mailbox. If other mailbox added as secondary account in Outlook profile, then To do list will show that secondary account details.

    Regards,

Hi Ankita, thank you for your reply.

I checked the Exchange Admin Center, and when editing UserExec's mailbox UserPA already shows as having full access under mailbox delgation.  UserPA has Full Access and Send on Behalf access there.  I would imagine these rights are already there as I'd already been into UserExec's Account Delegate settings on their machine and granted rights to UserPA.

Any other ideas? It doesn't seem unreasonable to have an Exec flag an email and then have that appear in the PA's To-Do List, or at least the Exec's To-Do list on the PA's machine.  As it stands only manually created tasks appear on the PA's machine.

    Thanks a lot!

    Hello Ryan_K_V,

Thanks for your post in Microsoft community. Based on your post, we have checked at our end and found the same result. Delegation cannot help to view flagged To do emails from task. Besides this as a workaround suggest you to give additional full access delegation permission to UserPA. Once full access delegation permission assigned, UserPA can view your account (UserExec’s account) from his outlook (in addition to their own mailbox) and can view all emails from inbox and check flagged emails.

For full access permission: Please note it allows the delegate to open the mailbox, and view, add and remove the contents of the mailbox. By default, the mailbox auto-mapping feature uses Autodiscover to automatically open the mailbox in the delegate's Outlook profile (in addition to their own mailbox).

To assign full access delegation permission, you need to contact Microsoft365 admin. For full details, please see Use the EAC to assign permissions to individual mailboxes.

    Regards,

    Ankita Vaidya
