Schedule sending of Calendar Invites

Is there any way to schedule when a calendar invitation sends? For example, I generally send out invites to my customers the week before their event. If I am out on vacation for a week or two, I want to be able to create the event, add the participants, but not send the invitation until a later date.

I know I can do it with email messages in the Options > Delay Delivery but cannot find the ability in Calendar. Thanks in advance!

    Dear TAT-CIC,

    Good day!

Thanks for posting to Microsoft Community. We are happy to assist you.

As per the description you have shared, we understand that you want to use Delay Delivery feature for sending of Calendar invites.

We do understand your concern and there is no direct option to delay delivery meeting invitation from Outlook, at this moment its only available for email message but we sincerely suggest you to kindly check with our Outlook development team to see if it’s achieved with VBA Code. For this, we have separate development team and engineers, where technical engineers specialize in Outlook development related issues, and experts will focus on inquiries to further assist you. So, recommend to kindly post your question to development team via Microsoft Q & A community site.

For meanwhile, I have been researching and testing from m side and you may try the following steps as workaround if it is convenient with your query. But before processed, May I please confirm if your customers can use Outlook on the web? if yes, follow these steps to send delay delivery.

    • Go to Outlook calendar --> Create Meeting/Appointment -->Enter required information -->Forward as iCalendar to you and your costumers.
    • After click Forward as iCalendar --> You can add notes and recipients -->Options --> Delay Delivery --> set your delay delivery date and time --> Close --> Send. For my test I have set the delay delivery for 3 minutes.

    • After receiving the Calendar invite --> Open the invite via Outlook on the web --> and then, customers can Add the invite to their calendar. you can refer to my test result.
    • After the adding the invite to the Calendar --> Go to Calendar right click on the added event, and then select Yes, May be or No.

    • You can also access your event via Outlook client as shown screenshot below.

However, thank you for bringing this to our attention, your concern is very meaningful and reasonable. So, we will surely raise your concerns to our Product Development Team and hopefully this can be included in the future updates. In the meantime, as this concern doesn't feasible in direct option at this moment, we sincerely recommend you post your concern as an idea to our Outlook feedback site via Outlook · Community (microsoft.com), our Product Development Team are committed to enhancing the customer experience by continually examining suggestions to include in the design and development of future product upgrades based on your suggestions.
