Hello,

I am confused by the results of my search vertical. I have a folder with the following subfolders:

I can find everything in all the subfolders except for the "Reference documentation" would anyone know why?

Make sure you have permissions to these documents in the specified subfolder.

Verify that the version of the document that's missing from search results is a major version of the document if you enabled version in this library.

Go to library settings>select Reindex Document Library to make sure that all content in the document library is indexed during the next scheduled crawl:

Thank you @JulieWang-MSFT. I confirmed the permissions, and they are identical between the ones that are found and are not. I did reindex the libraries in question a few days ago, but they are still not found. Furthermore, I created a new folder with subfolders for some testing, the files I added to the folder are found all the files in the subfolders do not show up in the search?

I am not an administrator, so I am not sure, but is there a chance that the search is timing out before finding the files? On occasion, I get an error then searching for a single word.

This goes away if I add more search characters.

From your description, you are using the classic search center in SharePoint online, right?

Please go to modern search at the top of the site to check if you can successfully search for these files.

Hello @JulieWang-MSFT, that does not find them either. Actually, I did some additional testing, and it is fining more files than my search vertical. I copied the same file in another folder, in my site, and it finds that one but not the original. I am confused.

How do you set the search vertical? By default, Microsoft Search shows the verticals All, People, Files, Sites, and News.(This is modern search)

If you select Files vertical, does sites will show in the search result?

Will other users have the same issue as you?

For the current search vertical, I create like this:

Site Settings --> Result Sources --> New Result Source

Name the Result Source and leave the other options as default

Then I Launch Query Builder
Leave Keyword and Property filter as default.
Enter Query text: {searchTerms} (contentclass:STS_List OR contentclass:STS_List_DocumentLibrary)
path:https://xyz.sharepoint.com/sites/jdp/Design_process/bkmrepository/

JDP is the site

Design_process is a Subsite

bkmrepository is a Subsite of Design_process and where all the docs are that I want to search.
Set Sorting as LastModifiedTime

I then create a page for the search vertical (settings --> Add a page)

I edit the page and then edit the Search Results web part. In the Search Criteria, I select “Change query”. In Select a query, I chose the Result source
from #1. Click Ok and save.

In Settings --> Site settings --> Search --> Search settings I add a link to the new search vertical page

Sorry, I am not sure what "select Files vertical, does sites will show in the search result?" means.

I have not checked if others have the same issue, I will do that.

When you set the search result source, could you find files at Search Result Preview as shown below:

Yes I do. I also noticed that other subsites with search vertical are also not finding all the files. For example, in a folder it will find some files but not others.

You could set further search query to the subfolder "Reference documentation" to check if you could see files in it:

path:https://xyz.sharepoint.com/sites/jdp/Design_process/bkmrepository/located library/Reference documentation

If you still could not see them, we suggest you create a new folder then copy files from Reference documentation, wait for some time, check if you could search same files in the new folder.

Thanks @JulieWang-MSFT , do you mean like this, where I added an additional search to the specific folder where I can't find the files? The light orange box is the original and the light green is the new one that has a link to the subfolder where I cannot find the files? (/BDE BKMs/BOM)

If so, this did not find them either.

Before posting this thread, I created a new folder and copied some of the files there (thinking there was something wrong with the folder), it could not find any of those files, it could find a few from the original folder but none in the copied one. The directory /BDE BKMs/BOM is the new directory. I can find files in the /BDE BLMs folder, but nothing in the BOM subfolder.

From your description, it seems that even if these files has been copied to another new subfolder, they still could not be found.

Try to copy these files to the root location of the document library, index library, and wait for a while to check whether they can be searched.

I Hello @JulieWang-MSFT, I copied the files to the library root and gave it several days, but I am not finding the files. I had some original test files in this root library that can be found, but none of the copied ones, so I know the library is being searched.

I did not request a reindex of the library after I copied the files, so I am trying that now.

Do note that this same characteristic of finding some files and not others is happening in all my subsites. The test that I am running is in a subsite of a subsite. My site is JDP so the site structure /JDP/ Design_process/bkmrepository and the library that has the files is in a document library in the bkmrepository called "BDE BKMs". Not sure if this matters, just wanted to make sure.

For your issue, I will suggest you to open a support ticket about it. It needs more detailed investigation with support team instead of simple troubleshooting via replies in forum. And we will appreciate it if you can update your findings here.
