How to make sure that max 1 category gets assigned to emails by Outlook rules

I am using Outlook rules to organize my emails.

I have a list of rules setup with a kind of priority in categories I want to assign.

The rules are created with the rule wizard, I am assigning an email to a category and in the last step of the wizard I always added "except if assigned to any category".

However, I have rules with multiple categories assigned if they match the criteria for multiple rules. However, they all have the same exception. So I would expect that as of when the first category gets assigned, the next rules with a match for the same email would not assign more categories to the mail.

So my desired result is to stop assigning categories to an email as of when 1 category is assigned.

    Hi Kerry,

    Thank you for your answer.

With your proposal to use "except if assigned to <category> category", I would have to list all the categories assigned in the rules above in the rule sequence.

That is why I used the except option which is just 1 below in the list of exceptions: "except if assigned to ANY category".

This would fit my needs better, because then I would not have to list them in each rule.

But it seems that the "any" (category) does not work as expected.

    Dear Kris Vermeren

Good day! Thank you for posting to Microsoft Community. We are happy to help you!

First of all, we apologize for the problems and inconveniences caused to your work! Based on your description, I have a general understanding of your question, to ensure that only one category gets assigned to an email by Outlook rules, you can modify the rules to include a condition that checks if the email has already been assigned a category.

Here are the steps to modify the rule:

    1. Open the Rules and Alerts dialog box, selecting "Manage Rules & Alerts" and then clicking on "New Rule".
    2. In the "Rules Wizard" dialog box, select "Apply rule on messages I receive" and click "Next".
    3. Select the conditions that you want to apply to the rule and click "Next".
    4. In the "Step 1: Select action(s)" section, select "Assign it to the category category" and choose the category you want to assign.
    5. In the "Step 2: Edit the rule description" section, click on the underlined "category" link to open the "Assign Categories" dialog box.
    6. In the "Assign Categories" dialog box, select the category you want to assign and click "OK".
    7. Click on "Next" and then select the exception "except if it is already assigned to the category category".
    8. Click on "Finish" to save the rule.

By adding the exception "except if it is already assigned to the category category", the rule will only assign the selected category if the email has not already been assigned a category. This will ensure that only one category gets assigned to the email.

Meanwhile, if you still need further help or I misunderstood your problem, please kindly correct me and tell me more details so that I can do further research and tests, thanks.

Thanks in advance for your understanding! Your patience and cooperation will be highly appreciated. Hope you all the best!

    Sincerely,
