Best ways to decrease storage of Outlook rules

I have run into the 256KB limit for my outlook rules. I'm trying to consolidate to get under the limit but would like to know which of the following factors would help me the most:

  • Reduce the rule name number of characters
  • Consolidate rules that do the same thing but for different senders
    • For example ten different rules if from users 1-10, then move to folder1 vs one rule that says if from users 1-10 (in one email list), then move to folder1

Any other tips would be much appreciated!

    Yes, this limit is currently by design and cannot be increased. However, apart from these workarounds; Microsoft can increase this limit based on customer demands; thank you for bringing this to our attention, we will surely raise your concerns to our Product Team and hopefully this can be considered in the future updates.

    I recommend also submitting your concern to the Microsoft Admin Center under feedback or create a UserVoice request for the feature on our Outlook · Community (microsoft.com), your opinion will be delivered directly to our engineers, helping us determine the direction of Microsoft products and services for all of our customers. It may be considered for future releases. Microsoft appreciates your feedback.

    Hi De Paul,

    Thank you for confirming various ways to successfully reduce the amount of storage utilized against the 256KB limit.

    Another question for you, would it be possible to request Microsoft to increase the storage limit from 256KB to 512KB?

    Thank you for your response. Here's my understanding of your question.

    Reducing the rule name number of characters will not have any impact on the 256KB limit. Consolidating rules that do the same thing but for different senders is a good approach to reduce the number of rules and stay under the limit. In your example, consolidating ten different rules into one rule that applies to all users in one email list will definitely help you reduce the number of rules and stay under the limit.

    Another tip to reduce the size of your rules is to avoid using too many conditions or actions in a single rule. Instead, you can create multiple rules with fewer conditions and actions. You can also consider deleting any unnecessary rules that you no longer need.
