How do I remove an email account from outlook app that doesn't appear in account settings?

I am using the Outlook Office 365 application version 2408 (Build 17928.20156 Click-to-Run) on a Windows 11 machine.

There are accounts or mailboxes added long ago that I no longer need. These are listed in the left side panel of the application as shown in the image.

I want to remove the mailboxes/account, whatever these are called for: Build, IT Inbox and Jenkins.

However if I right click on these entries, there is no delete. The closest option I see is Close "folder name". If I select that option the application pauses for a bit and presents a dialog that says I need to do this through the Account Settings page.

If I try that I find that Build, IT Inbox and Jenkins are not listed in my account settings. Nor are they listed in any of the tabs under the account settings page

How can I remove these unwanted mailboxes/accounts/what-evers?

Thank you.

    1. Remove via Control Panel:
      • Open the Control Panel on your Windows 11 machine.
      • Go to "User Accounts" and then select "Mail (Microsoft Outlook)".
      • In the Mail Setup - Outlook window, click on "Email Accounts".
      • In the Account Settings window, select the account you want to remove and click "Remove".
    2. Remove via Registry Editor:
      • Press Win + R to open the Run dialog box.
      • Type regedit and press Enter to open the Registry Editor.
      • Navigate to HKEY_CURRENT_USER\Software\Microsoft\Office\<version>\Outlook\Profiles\<profile name>\.
      • Find the subkey for the account you want to remove and delete it.
    3. Remove via Outlook Profile:
      • Open Outlook and go to File > Account Settings > Manage Profiles.
      • Click on "Show Profiles".
      • Select the profile that contains the unwanted accounts and click "Remove". Image Image
    4. Remove via Outlook Safe Mode:
      • Close Outlook.
      • Press Win + R, type outlook.exe /safe, and press Enter to open Outlook in Safe Mode.

    Hello John Rocha (rocha),

Good day to you and thanks for reply back.

I have checked and seems, it should be possible that you have full access permission for those other mailbox and as a result it visible in your outlook.

Generally if user manually added that other mailboxes (with full access permission) in outlook, it will be appear in Advance tab, so suggest you to follow below steps and check if those affected account are visible there or not. If yes, you need to remove it.

    • Open Outlook > File / Info / Account Settings / Account Settings / Change / More Settings / Advanced
    • in the Mailbox list, check if those affected account appears.
    • If yes > remove those accounts and restart Outlook

If those affected mailboxes not appear in advance tab, it means, those mailboxes have been added via the auto-mapping feature. In such situation, as an end-user, there is nothing you can do to remove it in Outlook.

You need to contact your Microsoft 365 Global admin to remove the auto-mapping attribute for your account from the additional mailbox you’ve been granted “Full Access” to.

Your administrator can then run the following PowerShell command in the Exchange Management Shell:

Add-MailboxPermission-Identity<shared mailbox alias>-User<your mailbox alias> -AccessRights FullAccess -InheritanceType All -Automapping $false.

Once this property has been removed, the additional mailbox will automatically remove itself within couple of hours after you restart Outlook.

At this point, you can also check with reconfigure another Outlook profile.

I hope the above information helps you to resolve your query and we also welcome to give vote on this post. it helps other users who are facing same query and finding solution.

Appreciate your precious time and have a great day ahead.

    Sincerely,

    Ankita Vaidya

    Hello Kerry,

    Thank you for the suggestions.

    1. Remove via Control Panel This option did not work. It does not show the other mailboxes/accounts. It looks like this:
    2. Remove via Outlook Profile This option did not work. There is only on profile and if I select properties and go to Email Accounts or Data files, it takes me to the screen show above in #1.
    3. Remove via Safe Mode This did not work. Starting in safe mode and then going through the actions for account settings, etc. results in all the same screen as before. It does not give an option to remove those other mailboxes/accounts.
    4. Remove Via Registry This did not work. There are two versions of outlook listed in the registry one doesn't have any profiles at all and the other has the one profile we've seen from the profile page, a profile named Outlook. The profile named Outlook has man hashes under it, and it's all binary data. There is no match on Build, or Jenkins in those sections.
