How do I automatically archive/delete emails stored in the 'New' version of Outlook on Windows 11, 2025?

I reviewed this article: Archive older items automatically - Microsoft Support

I tried to follow the instructions but it says it "Applies To: Outlook for Microsoft 365 Outlook 2024 Outlook 2021 Outlook 2019 Outlook 2016 Microsoft365.com Microsoft Office"

I am using the Windows 11, 2025 - the 'New' version of Outlook, I can't do step 1:

  1. Click File > Options > Advanced.

I could switch to the 'Old' version, but I want to figure out how to do this in the 'New' version. File is not really present on the tool bar. Options or settings does not have an advanced section that I've been able to find. I haven't found anything that says "AutoArchive" just sweep.

My goal is to make emails older than 3 months automatically added to the archive folder, then another emails in the archive folder older than 6 months to be sent to the trash folder.

I would really like to be given an in-depth tutorial, or have some sort of process to follow online on how to get what I want without having to use 3rd party plugins, extensions, scripts, or whatever. Maybe there is a simple rule that can be made?

I do not want to delete emails '1 time' that are past a particular date. I want this to be performed automatically and routinely for every future email once it reaches it's lifespan. Thank you.

    Hello Cuddly,

Thanks for posting in the Microsoft Community.

Firstly, please be informed that there is no "File" option in the New Outlook, as well as AutoArchive. If you need Archive mails you can use the Archive button in toolbar.

However, in order to move mails to certain folder, you would need to set rules. Kindly make use of steps below to set rules for your requirements:

    • Kindly click on Settings located at the top right corner of the Outlook windows
    • In the Mail group, Click on Rules
    • Click on Add new rule to set your rules

Here is a link that guides you better on setting Rules: Set up rules in Outlook - Microsoft Support

    Best wishes,
