Editing Auto Text

Hello,

I'm working in a very complicated template set up that was created by someone else. Here's the breakdown:

  • The previous person who worked on these created a series of templates and auto text entries that live on a server location.
  • She created a .bat file that individual users can run on their desktops any time they need to pull down updated templates.
  • When I go into the AutoText > Building Blocks organizer, it looks like all the auto text entries (signatures, phone numbers, and most importantly, their letterhead) is saved in a document she titled Menu.dot.
  • I found the Menu.dot document in it's server location and made changes to it (I was removing one of the users from the letterhead).
  • I pulled down the new Menu.dot with the .bat file she created and verified that the local Menu.dot file matched the one on the server location (and that it had the changes I had made to the letterhead).
  • However, when inserting the letterhead auto text, I don't see the changes that I made.

I found that if I actually delete something from the Building Blocks Organizer locally (like his signature line) then it does remove it, but only from my machine which isn't what I'm looking to do. If the building blocks organizer lists the location of each item being the Menu.dot file, and I have removed something from the Menu.dot file, then why does it still appear in building blocks organizer?

Totally stumped. Any help is greatly appreciated.

It is not possible to edit AutoText entries directly. You have to recreate the entry and save under the same name (and in the same place). You'll be asked if you want to replace the existing entry. Is that what you were doing?

Also, if the AutoText entry was inserted as an AutoText field, it might be necessary to update the field to see changes reflected.
