Hi,

Can anyone please help me with the following worksheet i need ? 

I want to keep record of some tasks I do everyday. but in a flexible time. Like may be task 'X' on sunday 2 hours from 8-10 and on monday 11-11.30. Lets say there are 7 tasks like this i do every day throughout the year. I wanna see @ the end of the year how much time i've spent on every task a year or a month. Are there any template for that you know about ? BTW I'm using office 2013 on macbook air.

I have an EXCEL Workbook that does exactly what you want.

I have just put up a slimmed down version of it at:-

1. The above is a small example of what’s contained in my own time sheet that I’ve been using successfully for the last 7 years including this year.

2. Once you understand how it works (and this might take a little time at first) it works perfectly OK and takes (literally!) seconds to complete as you go along.

3. However you need to bear in mind that when I designed it I designed it in such a way to suit the method in which I work.

The way in which I work is that I am switching between about half a dozen different tasks each day and these tasks normally only take an hour or so.

The Workbook has enabled me (and will enable you too if you use it in the way in which it was intended and designed) to track each of your activities.

4. Each new activity requires a new Worksheet to be set up.

I have only shown 2 imaginary activities for EXCEL and PowerPoint and examples of time that I might have spent on those activities.

5. (a) Let me walk you through your example and how to record it in the Workbook.

You say:-

Like may be task 'X' on sunday 2 hours from 8-10 and on monday 11-11.30.

5. (b) Open the Workbook.

Let’s assume you are adding hours to the PowerPoint activity.

Click on the Worksheet called:-

Power_Point_Time

Click in cell A5 and highlight the range:-

A5 to E5 inclusive

CTRL + C to copy

 - and paste into cells:-

A6 to E6 inclusive

5. (c) Change the date in cell A6 to read:-

14/06/2015

(I’m using European date convention of dd/mm/yyyy).

5. (d) Change the time in cell B6 to read:-

08:00

Change cell C6 and D6 to read:-

0

5. (e) Click in cell F5 and highlight the range:-

F5 to Q5 inclusive

CTRL + C to copy

 - and paste into cells:-

F6 to Q6 inclusive

5. (f) Click in cell F6 and change the time to:-

10:00

Change cell G6 to:-

120

5. (g) Clear the contents of cells:-

K6 to M6 inclusive

Clear cell O6.

5. (h) Cell N6 and P6 should now show 160 minutes (your 120 minutes plus the 40 minutes brought forward).

6. (a) Let’s say you want now to, “book in” the 120 minutes you’ve worked.

Normally I only, “book in” completed hours which, in this instance, is 2 hours.

6. (b) Enter:-

 - in cell K6.

In cell L6 enter:-

=M5

In cell M6 enter:-

=L6+K6

(Cell M6 should now be showing 55 hours being your new cumulative total).

In cell O6 enter:-

120

 - being the minutes that you are, “booking in”.

You should see cell P6 change to:-

40

6. (c) Click in the Worksheet called:-

2015

 - and in cell O168 enter:-

2

 - being the number of hours that you want to book for PowerPoint for that day.

6. (d) Still in the Worksheet called:-

2015

 - do a:-

CTRL + F

 - and when the window called:-

Find and Replace

 - opens in the field called:-

Find what:

 - type in:-

end

 - then click:-

Find Next

This should take you to cell U376.

6. (e) Scroll up a few lines if necessary and inspect cell O369 which show you 55 hours (being the new annual total for the PowerPoint activity).

This 55 hours agrees with the Worksheet called:-

Power_Point_Time

 - cell M6 (which also shows 55 hours).

Save the Workbook at this point (if required) to lock in your new hours.

6. (f) You agree the Workbook as you go along by agreeing the individual activity Worksheet (e.g. the one called Power_Point_Time) with the annual Worksheet (the one called 2015).

Once you’ve mastered the Workbook it’s very simple and straightforward to use and only takes a few moments to complete.

It’s also self checking as you go along as you can see in my point 6. (f).

    Depending upon how your data is arranged, you may use a Pivot Table.
