I Have an excel table with multiple columns and 200 rows.  some of the columns have dropdown boxes (e.g. 'injury sustained' is the column name and the drop down boxes have the options: no signs of injury, bruising, lumps, cuts etc)

i need a graph or chart on a different sheet which will tell me how many calls were made to each option (ie. 2 instances of bruises, 3 of cuts, 7 of no signs of injury etc)

when i try and make a graph i get either no information from the column or it lists everything in the box as one entry.  i have seen a similar form which has hidden columns called 'validation data'  but it only has yes or no in the rows and i cant see any formulas which would help with the graph.

This can be accomplished using a PivotTable.

A thorough discussion of PivotTables is here:

    https://www.youtube.com/watch?v=e-yuYNgsHAk

I know learning this involves some work, but learning this will make you a much more satisfied user of Excel.

Once you have set up your PivotTable, put the selection cursor in the table and go to the Insert Tab of the Ribbon and choose Recommended charts to build a chart that is responsive to your PivotTable filters.

    Hi philip

i can place it on a separate sheet by adding the sheet reference in the formula,  when i do what you suggest it only copies everything or nothing so my graph either has no info or it only has one line of info containing all of the words from the dropdown box as if it were one word, im trying ti have it so that only the word chosen from the dropdown box is graphed. So if i enter details of 6 accidents in one month and i have 2 no injuries 2 cuts and 2 bruises, the graph will automatically to show this.

First Select information that will be in Chart. Include the column header Copy.

Then go to Chart tab and choose the desired Chart, or if a table, choose the desired table.   I am not exactly sure how to place on a separate sheet.
