One Drive sharing sensitive data

Hi Microsoft One Drive team,

Within our company, we share many files on a regular basis to external parties. These documents are all type of files, mostly PDFs or office based (word, excel, ppt). To be confident in that the files are not reshared in any way, please find four questions below I am much hoping you have the answer.

  1. How can I prevent someone to download the file/folder I sent?
  2. How can I prevent someone to re-share the file/folder I sent?
  3. Is it possible to set up a limitation to how many times the file can be viewed/opened by the receivers?
  4. Is it possible to see files that are shared with me in the File Explorer? This is possible in www.office.com, but not in File Explorer under the One Drive from what I can see.

Hi Victoria,

Regarding the first query,  you may check IRM (Information Rights Management) for Office files. Although, currently, the feature (prevent download for shared files) is not available, many customers are interested in IRM as it heps keep your information safe , online or offline. To enable IRM, please make sure that your organization has a service plan that includes Azure Rights management data protection. If not, you will not be able to activate Azure Rights Management.

You must have either an Azure Information Protection Premium plan or an Office 365 plan that includes Rights Management.

For instructions about how to activate the Rights Management service from your management portal, select whether you will use the Office 365 admin center or the Azure classic management portal:

After activating Azure Rights Management, please set up Information Rights Management (IRM) in SharePoint admin center.

Once you have activated the settings, please apply Information Rights Management to a list or library.
