Hi there,

Our company will be having an on-site event and I was looking to us MS Forms for employees to register to attend the event. We need to cap the amount of people who are able to register since the max capacity for a room is 120. Is there a way to close the form after a certain amount of people have registered? and also have a message that displays that the max capacity for the event has been reached?

Thanks.

Hi Brenda,

I'd like to point that it is not feasible to close the form automatically based on the response number. And we can get the response notification mail instead of note mail about the max capacity for the event has been reached.

As a workaround, I 'd like to suggest you let some of your employees notice the number of response in form or the number of notification mail then uncheck Accept responses to close the form. For your reference: Adjust your form or quiz settings in Microsoft Forms.

If you have any concern about that, I'd like to suggest you post a new UserVoice to providing your feedback. This is the best way to improve our products. I appreciate your understanding.

Regards,

Neo

    Hi Brenda,

I didn't receive your reply in PM. Can you use Form normally now? Can you receive the notification emails? Do you still need my help? Please share with me your recent progress when you are free.

    Thanks,

    Neo

    Hi Brenda,

Based on my test, I can receive the notification emails when I check Email notification of each response. Note: Only form owner can receive notification emails. If you still can't receive emails, please create a new Form to see the outcome. If you still can't receive notification emails, please share with me more info as below:

    1. The detailed steps about how do you create your Form.
    2. Some info about your tenant. To protect your privacy, please share with me your info via Private Message.

    Thanks,

    Neo

    Hi there,

Thank you! Yes, your response was very helpful. I checked the box that allows me to receive email notifications every time someone submits a form, but am not getting the email notifications.

    Hi Brenda,

Have you noticed my reply above? Can you use Form to collect related info about the number of your register member? Do you still need my help? It would be great if you can let me know about your recent progress.

    Thanks,

    Neo
