Adding Keywords to a doc

I have a doc that has a name is the doc that is labeled 'keyword'. How can I add another one in the doc? 

I'm wanting to be able to type in a persons name in one place and it come up in another place as well.

    I've followed the directions and it's not working as per directions. When I go to type REF 1, the 'grayed' area goes away.
