Editing Multiple Templates/Fields from SharePoint

I want to be able to upload multiple Word documents into SharePoint with editable fields in each, and then enter information into one place where it will be distributed to all. I also want to make sure this can be used multiple times for different projects. I don't know if I'm on the right track - can anyone tell me what I should be searching to make this happen? Or if this can be done?

Hi Tanya,

Sorry for the late reply. From your description you would like to quickly enter the value into the fields in your created document from templates such as “Name” “Title” “Date” etc. I think you can try adding Document Property from Quick Parts while you create a Word template.

Here are my steps to do it.

1: First of all, you need add the columns in your SharePoint library according to your requirements. Here I click “Add column” > More to create column “Name of author” and “Name of Title” to enter the name and title.

2: After that you can create a new document in SharePoint and Open it in your desktop application. In Word client, go to Insert > Quick Parts > Document Property and select the name of the column to insert the quick parts into the document. After your modification, you can save this document as Word template file (.dotx format) and save to your desktop and upload the template to the same SharePoint library.

 

Then, every time you create a document with the template and fulfill the information into those columns, those fields will be fulfilled automatically. Please take note that the contents of quick parts only appeared in Word client. You need to open the file in the client version in order to view the contents of quick parts.

    Hi Sukie! 

    What I mean is that I have several Word documents I use as templates for each new work project I do. I would like to have fields in those documents that have a label, like "Name" "Date" "Title", and then have a place in SharePoint where I can quickly enter the Name, Date and Title into one place, and then have SharePoint put that information into all of my documents at once. 

    I hope that makes sense, and thank you for any help!

    You mentioned “upload multiple Word documents into SharePoint with editable fields in each”, does it mean that you want to upload Word documents with metadata? If not, to better understand your situation, could you provide more details about “with editable fields in each”?
