Missing fields (metadata) in document library

Anonymous
2019-12-03T10:34:51+00:00

We use several Content Types with a number of Site Columns inside it, inclusive some Metadata fields.

By adding the content types to a Document Library two of the site columns (both Metadata) are not appearing. Several other Metatdata fields appear.

We are using SharePoint online. The same content type works for other document librarys on the same sites without problems. This issue happened on several team-websites. Publishing doesn't help.

I can't delete the document library, as it is the library for teams.

Do You have any suggestions for us?

Thanks, Christine

    Hi Christine,

Sorry for the trouble caused at your end.

From the description provided, we would like to know whether the two missing site columns that are added to Site Content types are not displayed as columns in Document library (like Name, Modified, Modified By etc.) or missing columns are not shown in the properties of documents created using that Site Content  type (Select the document created using that Site Content type> Open the details pane> Under Properties)?

If you’re referring to not displayed as columns in Document library, we suggest you Edit the current view and check whether the missing site columns is checked under the Column Name or not:

Open the problematic Document library> Click on Switch view options> Edit current view> Check under the Column Name, enable the columns if they are not enabled> OK

If missing site columns are not shown in the properties, we would like to follow the steps and check whether Hidden option is selected:

Open the problematic Document library> Settings> Library settings> Scroll to Content Types> Click on the Content Type where the two missing site columns are added> Click on the missing site column> At the Columns Settings, check whether the option Hidden is selected. If yes, please change to Optional or Required as per your requirement> OK

If we misunderstand your scenario, we’re sorry and can you please guide us in correct path by providing some more detail description?

    Appreciate your understanding.

    Best Regards,

    Chitrahaas

    Hi Chitrahaas,

    thanks your answer.

I deleted the content type in the document library pressed F5 and readded it afterwards. (I've done it every time this problem appeared). Unfortunately all fields apart from the two "Kunde" and "Kundenprojekt" appeared. I don't think they will appear again ever, because I can't find them in the list of the fields you can add from existing website columns in the document library. So they must be hidden somewhere...

You asked about a new site and I created one. This time I started adding a new document library. In this library I added just the Content type and all fields appeared. Afterwards I took the document library witch is connected to teams. Here I added just the one content type and it was ok.

The other times I made both things different:

    1. I started editing the document library witch is connected to teams.
    2. I added two document sets and several content type all at once.

So I don't know if the order might be the solution or if I shouldn't add several content types at once...

Sometimes our SharePoint is very slow. Maybe the program couldn't access the metadata at the time of the creation?

We've already several teamsites with the same problem as above and I can't delete the team-related document librarys to create them anew (there is no "delete-button" for this kind of document library). Otherwise this would be a "solution in between". I hope, You're able to help...

Do You need any further screenshots?

    Best regards

    Christine

    Hi Christine,

Thanks for writing back and providing the screenshots to us which helped us to better understand your situation.

Functionality of default document library of SharePoint site will be similar to the other document libraries created in SharePoint site. Moreover, when we tested at our end by adding the Site Content Type containing metadata column, the metadata column will be shown up under the columns of Shared Document Library (Default Document library for SharePoint site) without any problem. As you mentioned, this problem occurs for several default document libraries of SharePoint team sites, can you please try to remove this Site Content Type to the one of the default problematic document library and re-add it to check the behavior?

Note: If you want to remove the content type from the Document library, we need to delete all the content in the document library that was created from that Site Content Type. So, backup the files that are going to be deleted.

After removing the files that was added using Site Content Type, follow the below steps:

Go to Library> Settings> Library settings> Scroll to Content Type and click on it to open> Delete this content type> After deleting it, re-add the content type and check the outcome.

If the problem persists, can you confirm whether this problem occurs to all the default document libraries of the SharePoint sites or only to specific sites? If possible, can you please try to create a new site and test on it?

    Appreciate your patience.

    Best Regards,

    Chitrahaas

    Hi Chitrahaas

thanks for your answer. Unfortunately my problem isn't solved with your suggestions. I will forward some screenshots to show you the problem.

The two missing fields are "Kunde" and "Kundenprojekt", both meta data.

    1. screenshot of the automatically created document library of team sites --- both fields are missing. But other fields of the content type are shown.
    2. screenshot of a manually created document library on the same team site  --- this one is working---both fields are listed
    3. screenshot of the document library, when I clicked on the content type in the problematic document library
    4. screenshot is of the CTH. Kunde and Kundenprojekt aren't defined as hidden

Maybe this isn't important, but so you know the whole process: The Teamsite was a classical one, which I connected with a new 365-group. Afterwards I changed the document library as shown in 1.

Please ask, if there is more misunderstanding.

    Thanks,

    Christine
