Document Library - Folder Comments

Hi,

I would like to keep track of comments on a folder with documents. Therefore comments are not attached to a particular document but with collection of documents.

The idea is that a folder would be share from one person to another with a particular task whilst keeping track of the comments on the folder.

At the moment whilst using a document library, I cannot add comments to a folder whilst keeping track of who wrote the comment and when.

I also tried using lists but did not achieve what I wanted.  I don't know if Microsoft planner can help in this?

Hi Adrian,

Thank you for your reply. If you would like to let the “comment” column get access of the username and timestamp, I think Power App will be more suitable based on my knowledge to Power Apps.

If you tend to make a function to approve the comments that user makes in the “Comment” column which it is a trigger, then Power Automate will be a better choice.

In addition, I also found a similar thread in Power Apps community about adding users full name, timestamp, and appending commentsin document library. You may have a look at your convenience. At meantime, I suggest you can raise a question in Power Apps community if you are interest on Power Apps solution. The experts of Power Apps can give you more professional ideas and solution to achieve it.

Best regards,

Dihao

Hi AdrianKind,

Thank you for posting your question in this community. From your description, you would like to add comments to the folders in SharePoint document library so that it can attach with collection of documents of that folder. Within the built-in feature of SharePoint Online, I am afraid we cannot add the comment based on user’s identity. In this scenario, I suggest you can raise an idea on SharePoint UserVoice platformat your convenience, it can let the develop team aware this limitation and consider improving it in the future as more users have this requirement.

However, if you consider about using Microsoft Planner, you can add the files or folder’s link as the attachment in the task. And the comments made in task is based on user’s identity. But, the limitation of this method is that the comment in task is only displayed in Planner tasks. It won’t sync to the folder or files in document library based on my test. For your information: Attach files, photos, or links to a task

Best regards,

Dihao

    Dear Dihao,

Thanks for your prompt reply. I will keep this solution in mind.

I am a beginner in this field. I am not sure if I can find a solution to my problem using Power Apps or Power Automate.

With Power Automate is it possible to customize the form in such a way that comments can be input as read-only text in the comments column so no one can edit them and add a timestamp and username for each comment similar to something shown in the image below? IE, using a customized form with Power Apps, is it possible to get access of the username and timestamp and insert them into a sharepoint multi line text column?

Or maybe using Power Automate by starting a flow on the folder and inserting a comment in the comments field which will be read-only?

My ultimate solution would be to share a folder of documents and add a comment. Then I would like to keep track of these comments.

    Thank you

    Adrian
