How to fix exporting replies from Microsoft Forms to Excel sheet?

Hi All,

Is there anyone who can assist me in fixing the problem of exporting the replies from the Microsoft Forms feature via Microsoft Teams onto an excel sheet. I am on the Business Basic Licence. The following is happening:

  • I can create and share a microsoft form of questions that goes to recipients external to the organisation.
  • I can view individual responses via the view tab
  • when I click the export to excel tab ( which has icon of excel to cloud) it takes me to microsoft forms to login. the login then either goes around in circles for ever, or it comes back with the comment 'this account doesn't exist' despite that I'm currently logged into MT with the same account details ...
  • I then go to sharepoint ( due to self-help guides that suggest checking there irrespective). I was finding my exported excel file under the respective MS team name. Awesome, however now
  • I wanted to re-arrange columns to create specific trend analysis data needed. Further responses received now don't appear on that excel export after that change. So I deleted that excel sheet on sharepoint, and requested a new excel sheet be exported from MF. Nothing appeared on sharepoint. I then requested the sync function from Microsoft form feature to create a new sync. Still nothing appeared when I went back to sharepoint to check.
  • I checked in onedrive just incase some how it went there...nothing

O goodness, how do I get MF on MST to please generate me an excel version of my replies from MF?

    Hi Angela,

    Thank you for querying in this forum.

    We have checked your description, and we found that you have created a Microsoft Form in Microsoft Teams, then you tried exporting to Excel, however, it failed, you found the Excel file in SharePoint, after deleting it, you found no Excel file appears in SharePoint when you tried exporting replies again.

    May I know if my understanding is right? If so, we have tested it on our side, we created a Microsoft form in Microsoft Teams, then we collected the response and click Open in Excel to export to Excel file, the related Excel file appeared in General folder under SharePoint document library, then we referred to the steps you provided to delete the file, if we click Open in Excel again, it will appear an error message, as shown below:

    May I know if the scenario and steps above are consistent with yours? If so, we’d suggest you go to Microsoft forms in Teams > In your form on the Responses tab, select More options More options button > Select Sync all responses to a new workbook, as shown below:

    Then you can go to SharePoint site document library to check if you can find the Excel file. For more details, you can refer to this article: How to get missing data in Forms

    And we have tested it on our side and it works fine on our side, we can find the Excel file again under SharePoint Document library(Note: this Excel file now appeared next to general folder, you can check the whole document library to check if you can find this file), as shown below:

    At the same time, you can also go to Office 365 portal > click Forms and find this Microsoft form, then you can use the steps we provided above to export to Excel again.
