Formatting changes when I link content between two documents via bookmarks. I want to link formatting too, Is there a way to do this?

Hi,

I am working with a very large document and some of its information needs to be inserted in multiple other word documents. So, I have created bookmarks to link the content between documents. However, when I link two documents together the formatting changes in the target document where I am inserting the bookmark. Some fonts are changed and colors of headings are changed as well. Is there a way to avoid this? I want o keep my formatting same as the source document where I am extracting the bookmark from.

I hope someone can help me with this. I'd be very grateful!

Thank you

Rabia Rana

That's a new question. Please start a new thread and include more details, or better yet, upload a sample file to a cloud service and add a link to it in your new post.

This is happening because the different documents use different style definitions for styles of the same name. The best long-term solution is to apply the same styles to all documents.

You can also paste using the Keep Source Formatting option. After pasting, click on the small paste palette near the lower right corner of the pasted text. Then choose Keep Source Formatting (second from left, circled in red):

You can also set the default paste from other documents. Choose File>Options>Advanced and scroll to the Cut, copy and paste section. Set the options for Pasting between documents and Pasting between documents when style definitions conflict to Keep Source Formatting.

    Dear respected Rabia Rana,

Good day! Thank you for posting to Microsoft Community. We are happy to help you.

I’m sorry you’re having a problem with Formatting changes when you linked link content between two Word documents but based on your description, we can work together to resolve it.

For the situation you encountered, we deeply understand the inconvenience caused and apologize for it.

As per your description, in your scenario better to fix/apply the same style or heading Styles on both your Word document (source and target file) and let Word's TOC handle the rest.

Also, may I know have you tried to use ordinary cross-references (act as hyperlinks).

We appreciate your understanding that sometimes the initial suggestions may not resolve the problem very soon. However, we can work together to narrow down and resolve the situation. So, please kindly provide more information below to let us work further.

    1. What’s your Word version? Open Word > File > Account > Production Information and share a screenshot of it.  (Please mask your private information.)

    1. Does the issue happen on all files or a specific one?

Appreciate your patience and understanding and thank you for your time and cooperation.

    Sincerely,

    Waqas Muhammad
