Transfer Ownership of Microsoft Forms

I know there is a way to collaborate on a form but, if the original creator leaves the organization, the form seems to disappear. How can I transfer ownership to another individual? Also, can a form be created from a shared mailbox account or does it have to be at the individual level?

Dear Alison ATX,

Greetings! Thank you for posting in Microsoft forum.

To transfer the form of someone who has left your organization, the following requirements must be met:

  • You are the global administrator or office application administrator of the organization and have a valid Forms license.
  • The employee whose form you want to transfer has an account that has been deleted or disabled.
  • The form is transferred within 30 days of when an account was deleted.
  1. If all requirements are met, you may transfer form ownership. In the address bar of your browser, replace the existing URL with the following: https://forms.office.com/Pages/delegatepage.aspx?originalowner=\[\*email address*]
  2. You now have access to the former employee's forms. On the form you want to transfer, click More form actions , and then select Move.

For detailed information, see Admin information - Form ownership transfer | Microsoft Learn

In case, an existing employee wants to move the form to a group, they can follow the steps mentioned in the following article:

Move your form to a group - Microsoft Support

To answer this question “can a form be created from a shared mailbox account or does it have to be at the individual level?”, an user can create a form from an individual account or as group form.  User can create a form or quiz in your Microsoft 365 group that can be accessed and managed by all team members of that group. To know how, see Create a group form or quiz - Microsoft Support

If my understanding above is not consistent with yours, you can also post back and point that out.

Your understanding and patience will be highly appreciated. I hope that you are keeping safe and well!

Sincerely,
