Hello -

I work for a company, IT Department needs to deploy a sharedpoint site to store data and share. But I'm having organizational problems.

  • Sharedpoint has 2 ways to create sites, Team site and communication site. but in MS Team (Application) when creating group of Ms Team, it automatically creates site. So which site should I choose for data storage and sharing? and decentralization later.

Thank you.

    Dear Ti Nguyen,

Good day! Thank you for posting your query in our community.

Based on your description, you want to create a SharePoint site to store data and share.

From these two official articles: Use the SharePoint Team collaboration site template - Microsoft Support, Use the SharePoint Topic, Showcase, and Blank communication site templates - Microsoft Support, we can know that:

A SharePoint team site connects you and your team to shared content and resources. Use team sites to store and collaborate on files or to create and manage lists of information as well as:

    • Track and stay updated on project status
    • Organize and co-author shared content
    • Connect to a Microsoft 365 group to access team resources

A SharePoint communication site is a great place to broadcast information to others. Share news, reports, status updates, and more in a visually appealing format. Use communication sites to engage and inform broad audiences.

    • Create portals, department, or project-specific sites
    • Share company news, announcements, and events
    • Engage dozens, or thousands, of viewers

So we recommend you could create a SharePoint team site to meet your requirement.

If you still have other questions about it, please feel free to post back.

    Thank you very much.

    Good day!

I have understood your answer. But I wonder if it is possible to create a Team site in Sharepoint and in the Ms Team application when creating a group (Example: IT Department) it also created a link (Link) to the team site.

So my problem is whether to take advantage of the link (Link) of the site that Ms Team created for the purpose of storing data (File Server online) or going to Sharepoint to create another team site (because later I decentralize as a file server). Please give me advice and experience for implemented.

    Dear Ti Nguyen,

    Thank you for the reply.

May I confirm whether you want to create a group and associate this group with MS Teams and SharePoint?

If yes, we suggest you could directly create a team in MS Teams, so that a related group and a related SharePoint site will be created automatically.

Then you could store files under the Files tab in MS Teams, the files will be displayed on the related SharePoint site as well. And you can go to the SharePoint site via the Open in SharePoint button in the team.

    Sincerely,

    Hi.

"May I confirm whether you want to create a group and associate this group with MS Teams and SharePoint?"

==> I created for the purpose of storing data as File Server online.

    Thanks.

    Dear Ti Nguyen,

    Thank you for the reply.

If you just want to create a SharePoint site to store and collaborate on files, you can directly create a team site in the SharePoint Home(log into the Office portal(www.office.com) with your account > Open the app launcher > click Create site on the upper-left corner > select the Team site).

Please note that if you don't have the Create site button, your admin may have disabled this feature for this tenant.
