SharePoint Online user losing document data

Hi all,

First time poster here.

I have a Private Group SharePoint site that a user is posting documents to in a Check-Out Check-In fashion. For the most part, it works absolutely fine. However, on two separate occasions, the document has stopped updating on the SharePoint site, giving several revisions of the same document under the Version History section. The user is unaware of this, as he sees the updated document every single time he checks out and opens the document.

However, a few months down the road and several revisions later, he sees the old version of the document when he checks it out and opens it. When looking back to version history in SharePoint, it shows several revisions where he made the changes, but all document sizes are exactly the same, showing the document has not changed.

I'm not sure if it's a SharePoint issue or a local device issue. When checking our 3rd party O365 backup tool and pull a backup from after the time he has made some changes, it still shows the copy that's months old, even though the date modified is much newer.

Has anyone seen this issue? If you have, what have you done to remedy it?

    Sophia, thank you for your answer. Again, I just have to make sure that I have this correct. Even if you are checking in a document to a SharePoint site, you need to make sure that you press CTRL+S to sync it up with the OneDrive application open?

    Is there any way to see if the particular document in question is still in the cache waiting to get uploaded?

    Thank you for posting your query in our community.

    I understand your concern and would like to convey that this issue happened because of the local device issue when he made the modification in locally his changes did not sync to the server, in this scenario server has the previous un-modified version of the document.

    Please make sure your autosave is turned on also before closing the document please manually sync the changes ( CTRL +S ). And please close the document after the show ( Saved )

    Also, try to clear the cache on office applications.

    Sign out all the accounts >> clear cache on this location >> C:\Users\username\AppData\Local\Microsoft\Office\16.0\OfficeFileCache

    or%localappdata%\Microsoft\Office\16.0\OfficeFileCache

    Also please try to do the online repair by opening the control panel >> Control Panel\Programs\Programs and Features >> find the office application right click on it change >>online repair.
