Sharing Planners with Individual Users (Within an Organization)

I am unable to share plans to individual users within my organization while using Planner.

  • When creating a plan, I only have the option to share to an existing group which is not what I want to do.
  • Once the plan is created if I navigate to Members in the upper right, I'm expecting the "Enter Name to Add Member" Box but it is not available.

I know my organization does not currently allow sharing to External users but I would expect internal sharing to be an option.

How do we enable this feature?

    Thank you for the info.

Do you know if sharing a private planner is being looked at as an enhancement?

I am not clear on the rationale used by my organization to limit groups (we're early in our O365 implementation) but if creating groups is the only current way to share a planner with select users it may not work for the 1:1 scenarios I have in mind.

    Thank you.

    Quick answers

1.Do all plans have the same problem? You can add member in other plan to check if the same problem will occur.

    • No, I can add members to plans with groups. See below.

2.Do the other colleagues have the same problem?

    • Yes when trying to share a private plan to others without associating a group.

3.Confirm are you able to create a Office 365 group?

    • I am not able to create a group. Is this required for 1:1 sharing?

    My Process:

I'm working in a combination of Planner in Teams and Planner on the Web.

    FOR CONTEXT

    • The black screens are from Planner in Teams
    • The White are Planner on the Web

I started a Private Plan in Teams Planner. (If I start the plan in Planner Web, I'm required to enter a group)

There I can create a plan and do not have to add a group. Note Optional

FOR CONTEXT: These are my options when starting the Plan on the Web - Note Group Required

Once I create the Plan, If I click on the Invite members in the top right, I am prompted to create a group or add to existing group.

I'm not currently able to create a group at my organization but this plan will only be shared with a single person.

In Planner Web, on the same Private Plan, I do not have the option to add members.

For Comparison, I do have a Plan that is shared with an existing Group. While I can add members to this type of shared plan, adding a user will add the individual to the group and give them access to all the other plans and or teams channel content which is not intended.

The goal is to create a Private planner that can be shared as a 1:1 or select group of users without having to create a master group for the organization.

    Hi Mitch Mitchell2,

Thanks for your valuable feedback and sharing updates with us and I really appreciate your effort and your precious time doing.

And I appreciate your kind words.

Honestly, the root cause is, your organization admin diable a create an Office 365 group that why you cannot add a member one by one.

In private planner only an owner/creator can see the plan but cannot share(no have ability to share) when your organization admin allows you to create an Office 365 group, then can add members one by one.

Your understanding and patience will be highly appreciated. I hope that you are keeping safe and well!

    Sincerely,

    Waqas Muhammad
