We are using the web based outlook and calendar. I want to export my calendar to a CSV file to track month by month.

I know how to do on the outlook desktop version but our company does not use the app/desktop version and only allow the web version.

Did you use ChatGPT to write this answer? Because that suggestion to open the ICS file in Excel is utter nonsense.

Excel does not recognize ICS files. If you try to open an ICS file in Excel, you'll just get a bunch of worthless garbage, not even remotely usable.

Don't believe me? Try it for yourself.

    Hello JamesBartlett_DMU,

I appreciate your feedback regarding the previous suggestion to open an ICS file in Excel. You are correct that Excel does not inherently recognize ICS files, and attempting to open them directly will lead to unformatted data that is not usable. To address the need for exporting your calendar from Outlook on the web to a CSV format, here are some revised steps that should be more effective:

Revised Solution for Exporting Outlook Calendar to CSV

Export Your Calendar as an ICS File:

    • Log into your Outlook.com account.
    • Navigate to the Calendar section.
    • Select the calendar you want to export.
    • Click on Settings (the gear icon) and then choose View All Outlook Settings.
    • Under Calendar, find the option to Publish a Calendar and select it. This will generate an ICS link that you can use to download your calendar events.

Convert ICS to CSV Using Online Tools:

    • Once you have the ICS file, use an online converter specifically designed for this purpose. Websites like TimeTackle or Open ICS File provide tools to convert ICS files into CSV format easily.
    • Upload your ICS file to one of these platforms and follow their instructions to convert it into a CSV file.

Using Google Calendar as an Intermediary:

    • If you prefer, you can also import the ICS file into Google Calendar:
      • Go to Google Calendar and create a new calendar.
      • Use the Import function to upload your ICS file.
      • Once imported, you can then export this calendar as a CSV file by selecting the calendar settings and choosing the export option.

    Manual Entry (if necessary):

    • As a last resort, if the above methods do not work for you, consider manually copying event details from your Outlook calendar into an Excel spreadsheet. This method is time-consuming but allows for complete control over the data you wish to track.

These steps should provide you with a more reliable way to export your Outlook calendar data into a CSV format. If you have any further questions or need additional assistance, feel free to reach out!

Appreciate your patience and understanding and thank you for your time and cooperation. Have a great day!

I have found that following Eleni's instruction can work with Outlook 2016. Outlook 2016 has an ics import which works.

Had 3 calendars in outlook online, my work calendar, my personal, and my wife's. Needed them on a home computer after retirement.

Following instruction, I exported each to and ICS file. They were exported as both a HTML & ICS:

selecting the version offered a download choice (or copy link). I downloaded to my conversion folder and was able to import them into Outlook 2016. They cannot be imported sequentially; outlook has to be closed (my best guess) between exports or you get the same calendar.

    Hello Stephanie Luzoro,

Good day! Thank you for reaching out to the Microsoft Community forum with your question about exporting your Outlook calendar to a CSV file.

We appreciate your attention to detail in wanting to track your monthly events effectively!
It sounds like you're looking for a way to export your calendar data from Outlook on the Web (OWA) into a CSV file format. While you’re familiar with the process on the desktop app, your company uses only the web-based version, which does not include a direct CSV export option.

Many users find it challenging to export their calendars directly from Outlook on the web since the option to export to CSV is not readily available. This can be frustrating, especially when you're accustomed to using the desktop application.

I've researched various methods and found some potential solutions and workarounds that may help you export your calendar data effectively.

I’m happy to provide a detailed step-by-step guide for exporting your Outlook calendar from the web version to a CSV file.

    Publish Your Calendar:

    • Log into your Outlook.com account.
    • Click on the gear icon in the upper right corner and select View All Outlook Settings.
    • Navigate to Calendar > Shared Calendar.
    • Under Publish a Calendar, select your calendar and choose to publish it. This will generate an ICS link.
    • Use the ICS link to download your calendar events locally.

    Convert ICS to CSV:

Once you have downloaded the ICS file, you can convert it into a CSV format. You can do this using various online converters or by importing the ICS file into Excel:

    • Open Excel and go to File > Open.
    • Select the ICS file (you may need to change the file type to "All Files").
    • Once opened, you can save it as a CSV file by selecting File > Save As and choosing CSV format.

Manual Copying (as a last resort):

If the above methods seem too complex or if you encounter issues, you can manually copy your calendar events:

    • Open your calendar in Outlook on the web.
    • Copy details of each event (like title, date, time, etc.) and paste them into an Excel spreadsheet.
    • This method is time-consuming but can be effective for smaller datasets.

    Third-Party Tools:

    • There are also third-party tools available that can facilitate exporting your Outlook web calendar directly to CSV. Tools like TimeTackle can assist with this process if you prefer an automated solution.

    OR

Sync with a Desktop Client (If Possible):
If your organization allows temporary access to a desktop email client like the Outlook Desktop App on a personal device, you could use that to sync your calendar and then perform the export to CSV from the desktop app. Once exported, you can import the CSV file to your tracking software.

Export via Calendar Sharing with a Third-Party Application:
Another approach is to connect your Outlook calendar to a third-party calendar tool that supports exporting to CSV. Many online calendar tools (like Google Calendar) allow you to import your Outlook calendar via an .ics link and then export it as a CSV. Here’s how you can do it:

    • Go to Outlook on the Web.
    • Open your calendar and Share it by creating a sharing link.
    • Copy the ICS link generated.
    • In a compatible third-party calendar service, import this ICS file or link.
    • Once imported, use the calendar’s export feature to save the events as a CSV file.

    Alternative Tracking Method:
If a CSV export isn't essential and you mainly want month-by-month visibility, consider using the Print feature in Outlook on the Web. This allows you to save your calendar as a PDF or print it for record-keeping. Simply go to your calendar, select Print and adjust the settings to a monthly view.

If CSV export isn’t strictly required, here’s how you can save monthly snapshots of your Outlook calendar:

    1. In Outlook on the Web, go to Calendar.
    2. Select the Month view from the view options at the top.
    3. Click on Print (usually in the top-right menu).
    4. Choose Print to PDF or Save as PDF to create a file for each month.
    5. This file will contain all calendar events for the selected month in a viewable and printable format.

By following these steps, you should be able to export your calendar data from Outlook on the web into a CSV file successfully. If you have any further questions or need additional assistance, feel free to ask!

Please understand that our initial response may not always resolve the issue immediately. However, with your help and more detailed information, we can work together to find a solution.

Appreciate your patience and understanding and thank you for your time and cooperation. Have a great day!
