To grant permissions to members within a Microsoft 365 group, follow these steps:
- Go to the Microsoft 365 Admin Center.
- Select "Groups" from the left-hand menu.
- Choose the specific group you want to manage.
- Add Members:
- Click on "Members" and then select "Add Members."
- Search for and select users you want to add, then click "Save."
- Assign Roles:
- Navigate to "Settings" within the group settings.
- Here, you can assign roles, such as whether a member can edit group settings or manage membership.
To enable external users to access your Microsoft 365 group, you must ensure the following settings are configured:
- In the Microsoft 365 Admin Center, navigate to "Groups."
- Select the group you wish to modify.
- Click on "Settings."
- Turn on “Allow external members” to permit users outside your organization to join the group.
******Please ensure that your organization's external sharing policy allows for this.
To change the setting of a Microsoft 365 group's mailbox from private to public:
- Access the Microsoft 365 Admin Center.
- Go to “Groups” and select the group.
- Navigate to the "Settings" tab.
- Locate the option for "Privacy."
- Switch the setting from "Private" to "Public."
- Confirm your changes.
******This allows all users in the organization to view the emails and files in the group mailbox.
To hide a Microsoft 365 group from the Global Address List (GAL):
- Log into the Microsoft 365 Admin Center.
- Select “Groups,” and then choose the specific group.
- Click on "Settings."
- Find the option for “Hide from address lists.”
- Enable this setting to prevent the group from appearing in the GAL.
******This ensures that only specified users can access the group's email address.
