    Dear Hien,

    Good day to you!

Thank you for posting your query in this forum. Based on your description, you are unable to access forms created by old employee who is already left the company. As mentioned, you were able to access the form more than 30 days. Unfortunately, you can’t access the forms.

Regarding your issue, I would like to ask a question that would be more convenient to clarify–

    • May I know if the user left the organization more than 30 days?

If the user left the organization more than 30 days, The user will be deleted permanently from the organization after 30 days and all data related to his account will be deleted permanently and can’t be restored.

    On the other hand,

It’s important to note that due to GDPR regulations, data is only stored for up to 30 days after an employee leaves an organization. After 30 days, his or her data is permanently deleted. Therefore, it’s crucial to ensure you move ownership of a form within this time frame. Remember, it’s always a good practice to transfer the ownership of forms to a group before they depart, to prevent any data loss.

To transfer ownership of Microsoft Forms from an employee who has resigned, you can follow these steps:

    1. Verify Your Role: Ensure you are the global administrator of your organization and have a valid Forms license.
    2. Access the Specialized URL: In the address bar of your web browser, navigate to https://forms.office.com/Pages/delegatepage.aspx?originalowner=[employee's email address], Replace [employee's email address] with the actual email address of the former employee.
    3. Move the Forms: Once you have access to the former employee’s forms, click on More form actions on the form you want to transfer, and then select Move.
    4. Complete the Transfer: Choose the new owner or a group where you want to transfer the form and confirm the action.

Thank you for your understanding and patience.

    Best Regards,

    Harry
