Microsoft Forms

I’m using Microsoft Forms to solicit responses and would like to use the “ranking” question, however there is currently a limit of 10 items.

I need the question to include up to 40 items with the ability to rank the top 10 items. Is there a way in forms to accomplish this?

    Hi Brian Callahan 0722

    Welcome to Microsoft Community.

I realize that you've encountered a problem with " Microsoft Forms ", and I understand how you feel. Don't worry, I'll do my best to help you.

Based on your issue, I did some testing, and unfortunately, Microsoft Forms has an inherent limitation for the "Ranking" question type, which allows listing up to 10 options only. If you need to include up to 40 options and have users rank their top 10, this cannot be directly achieved in Microsoft Forms.

However, you can consider the following workarounds:

    1. Split the Ranking Question into Multiple Parts:

    • You can divide the 40 options into multiple ranking questions. For example, split your list into 4 questions, each containing 10 options.
    • Users rank the 10 options in each question separately. This way, they can rank within smaller groups.
    • After collecting the answers, you can manually analyze and merge these rankings to get the overall preference results.

    2. Use "Choice" or "Rating" Questions for Scoring:

    • If precise ranking is not required but you want users to express preferences among multiple options, use the "Choice" or "Rating" question types, allowing users to rate each option (e.g., on a scale of 1 to 5 or 1 to 10).
    • Then, you can analyze and sort based on the rating results to identify the most popular options.

    3. Use Multiple Ranking Questions:

    • Another approach is to use multiple ranking questions, first having users rank a small subset (e.g., the top 10) and then rank another part of the options in subsequent questions.
    • Later, you can ask users to select the top 3 or top 5 options from each subset for a final ranking. This method may be more cumbersome but can help you roughly determine the top 10.

    4. Custom Solutions (PowerApps/Power Automate):

    • If your organization uses Microsoft 365, consider using PowerApps to create custom forms or extending Microsoft Forms' functionality through Power Automate.
    • These tools can help you design more complex forms, allowing for ranking of more options and even automating the processing of survey results.

I hope these suggestions have been helpful to you!

Feel free to let me know if you have any other questions or need any further help.

    Best regards
