Dear Naveen1988,
Good day to you and thanks for your post in Microsoft Community. I'm sorry for the inconvenience you've encountered. To better assist you, could you please provide more details such as:
- What type of your account? It means your account is personal or created by organization - school or company.
- Would you mind sharing me a screenshot about your issue?
- Which platform do you use? Desktop or web app? Do you check with another one?
- If you use the web version, would you mind changing the browser or using the inPrivate page to check if the issue occurs?
- Did the issue happen before? And how long does the issue occurs?
- Who is the owner of file?
- Anyone is shared permission face issue as you?
Regarding your question, I'd like to provide the following clarification:
- Insufficient permissions
- You need at least Contribute rights on that list. If you only have Read or custom permissions that don’t include “Add Items,” the control will be hidden.
- A grouped view is in use
- In a modern list view that’s grouped by one or more columns, the “+ new” link moves into each group header (and only shows when that group is expanded). If you’re fully collapsed, you’ll never see it at the bottom.
- Required columns with no defaults
- If your list has one or more Required columns (e.g. a Choice or Lookup) but no default value, SharePoint sometimes suppresses “Add new” because it can’t build a bare-bones row in grid edit. Check your column settings and either provide a default or make it optional.
- List in “read-only” mode
- Retention policies, eDiscovery holds, or Site Collection lockdowns can force a list into read-only. In that state you can’t add items, so the button won’t appear.
- Custom view formatting / List formatting JSON
- If someone applied JSON formatting to the view - especially rowFormatter or hideColumnRules - they may have inadvertently hidden the command bar including the “+ new” button.
- Quick edit is disabled
- On classic pages or certain list types (Tasks, Calendars, or when “Allow grid edit” is turned off in Advanced settings), grid mode still works, but the “new” link may not appear. Verify under List Settings > Advanced settings > “Quick property editing.”
- Exceeded list thresholds or locked by large-scale operation
- Very large lists (over 5,000 items) or lists currently undergoing indexing or backup can temporarily suppress metadata commands to preserve performance.
- Using a “connected” list in Teams / Power Apps / Forms
- If the list is surfaced inside Teams or a Power Apps form, the wrapper UI sometimes strips out the native “+ new” control - look for an “Add” button elsewhere in the host app.
Once again, I sincerely apologize for the unpleasant experience. I look forward to your information and if you have any questions, please feel free to reach out to me - I’ll be happy to assist you. Wishing you a wonderful day.
Best regards,
Daniel Vo - MSFT | Microsoft Community Support Specialist.
