My email signature is not included in my emails when I reply, forward and send an email.

    This usually comes down to signature settings or message format.

    First check Outlook → Settings / Options → Signatures and make sure a signature is selected for New messages and also for Replies and forwards — they’re separate options.

    Also check the email format. If you’re replying in plain text, signatures with formatting or images may not appear. Switching the message format back to HTML often fixes it.

    If it suddenly stopped working, try restarting Outlook or signing out and back in (for Outlook Web). Profile or sync glitches can sometimes reset signature behavior.

    If you run into this often, proffesionals create signatures using tools like MySignature and reapply them quickly instead of rebuilding them inside Outlook each time.

    1. Check Your Signature Settings
    2. Go to Outlook on the web: https://outlook.office.com
    3. Click the Settings gear icon (top right).
    4. Select View all Outlook settings at the bottom.
    5. Navigate to Mail > Compose and reply.
    6. Under Email signature, confirm that your signature is created and formatted correctly.

    1. Enable Automatic Signature Insertion

    In the same Compose and reply section, check these options:

    Automatically include my signature on new messages that I compose

    Automatically include my signature on messages I forward or reply to

    If these boxes are not checked, Outlook will not insert your signature automatically.


    1. Manually Add the Signature (if needed)

    If you prefer not to enable automatic insertion, you can add it manually:

    When composing a new email or reply, select Insert Signature from the toolbar (the pen icon).


    1. Clear Cache or Try Another Browser

    If the settings are already correct but the signature still does not appear:

    Clear your browser cache and cookies.

    Sign out of Outlook and sign in again.

    Try another browser (Edge, Chrome, or Firefox).

    If this is a work or school account, your organization may manage signatures centrally using Exchange or a third-party signature tool. In that case, local Outlook web settings might be overridden. Contact your IT administrator if you suspect this applies.

    If you also use Outlook desktop or mobile, note that signatures are separate in each platform. Updating your web signature does not automatically sync with the desktop or mobile apps. You must configure each one individually.
