Your Exchange admin will need to turn on the option to save a copy in the shared mailbox.

The admin can do that using either PowerShell or enable in it the admin portal - open Shared mailboxes under Teams and groups, click on the shared mailbox and enable the send items setting.

Using the registry key in classic Outlook is not recommended and should noy be used if it's set on the server.

When you send an email from a shared mailbox in Outlook, the sent message may not be saved in the Sent Items folder of the shared mailbox. Instead, it is typically saved in the Sent Items folder of your personal mailbox. This behavior occurs because shared mailboxes do not require a license and cannot be added as independent mailboxes in Outlook. When you send or reply to a message from a shared mailbox, Outlook sends it from your account, which is why the sent message is stored in your own Sent Items folder.

To ensure that sent emails are saved in the Sent Items folder of the shared mailbox, you can configure the mailbox settings in Exchange Online or on-premises Exchange Server. You can run the following PowerShell commands:

    • For emails sent as the shared mailbox:
        set-mailbox <mailbox name> -MessageCopyForSentAsEnabled $True

    • For emails sent on behalf of the shared mailbox:
        set-mailbox <mailbox name> -MessageCopyForSendOnBehalfEnabled $True

Additionally, you can adjust the DelegateSentItemsStyle registry value in Outlook to control where sent emails are saved. This requires modifying the Windows registry, so be sure to back it up before making any changes.

If you are using the new Outlook, only the mailbox configuration method will apply.
