This behavior usually happens because of conflicts with Edge’s PDF viewer, session or DOM caching when switching between mailboxes, interference from extensions or profile corruption, or a known intermittent issue with shared mailboxes and attachment previews in Edge.
Start by checking Edge settings. Go to Settings > Cookies and site permissions > PDF documents and enable “Always download PDF files” temporarily, then test. If the print option appears consistently, the issue is related to Edge’s PDF viewer.
Next, try disabling extensions and testing in InPrivate mode. Launch Edge in InPrivate mode (Ctrl+Shift+N) and log into Outlook on the Web. If the issue disappears, disable extensions one by one in Settings > Extensions.
You can also reset the Edge profile cache. Clear site permissions and cached data specifically for outlook.office.com by going to Settings > Privacy, search, and services > Clear browsing data > Choose what to clear > Cookies and other site data. Select “All time” and include Site permissions.
If that doesn’t help, test with a new Edge profile. Create a new profile in Edge under Settings > Profiles > Add profile, then log into Outlook on the Web and check the shared mailbox preview.
Another option is to force Outlook on the Web to use the system PDF viewer. Instead of previewing, click Download and open the file in the system viewer. If this works consistently, the issue is isolated to the Outlook preview script.
Make sure Edge and Windows are up to date. Check Settings > About Microsoft Edge for updates and apply the latest Windows updates, especially if WebView2 components are involved.
As a quick workaround, if the print button disappears, use Ctrl+P while the preview is open. This often triggers the print dialog even if the button is missing.
