Issues with Edge not displaying the Print option when previewing an email in Outlook on the Web

Good Day,

I have been troubleshooting an issue for a client that is having the problem of not being able to have the print option when previewing an email attachment in Outlook on the web only in Microsoft Edge. I have cleared the cache/cookies multiple times. This client has two email boxes they use. One the preview/print works fine but the shared mailbox they access when previewing the email attachment the print option will show up once then if the user closes the preview and reopens it or any other attachment previews (on other emails as well) the print option no longer appears. I have tested this on my computer as well with the same account and I get the same behavior. I engaged 365 support but they said since it was an Edge specific issue they directed me here. Any help would be great.

Thanks.

Hello Daniel Perry, thanks for posting this in our community.

This behavior usually happens because of conflicts with Edge’s PDF viewer, session or DOM caching when switching between mailboxes, interference from extensions or profile corruption, or a known intermittent issue with shared mailboxes and attachment previews in Edge.

Start by checking Edge settings. Go to Settings > Cookies and site permissions > PDF documents and enable “Always download PDF files” temporarily, then test. If the print option appears consistently, the issue is related to Edge’s PDF viewer.

Next, try disabling extensions and testing in InPrivate mode. Launch Edge in InPrivate mode (Ctrl+Shift+N) and log into Outlook on the Web. If the issue disappears, disable extensions one by one in Settings > Extensions.

You can also reset the Edge profile cache. Clear site permissions and cached data specifically for outlook.office.com by going to Settings > Privacy, search, and services > Clear browsing data > Choose what to clear > Cookies and other site data. Select “All time” and include Site permissions.

If that doesn’t help, test with a new Edge profile. Create a new profile in Edge under Settings > Profiles > Add profile, then log into Outlook on the Web and check the shared mailbox preview.

Another option is to force Outlook on the Web to use the system PDF viewer. Instead of previewing, click Download and open the file in the system viewer. If this works consistently, the issue is isolated to the Outlook preview script.

Make sure Edge and Windows are up to date. Check Settings > About Microsoft Edge for updates and apply the latest Windows updates, especially if WebView2 components are involved.

As a quick workaround, if the print button disappears, use Ctrl+P while the preview is open. This often triggers the print dialog even if the button is missing.

    Kind regards,

    John Oli

This is a known issue with Outlook on the web when used in Microsoft Edge — the print button can disappear after the first preview of an attachment, especially in shared mailboxes. It isn’t caused by cache or cookies, but by how Edge handles the preview session.

The behavior you’re seeing has been reported by other users: the print option appears once, then vanishes if you close and reopen the preview or switch to another attachment. Microsoft has acknowledged this as an Edge‑specific bug in Outlook on the web. Clearing cache or cookies won’t fix it, and it isn’t tied to your client’s mailbox permissions.

The most reliable workaround right now is to avoid using the preview print option in Edge. Instead, download the attachment and print it directly, or open Outlook on the web in another browser such as Chrome or Firefox where the print option remains consistent. If your client must stay in Edge, they can sometimes restore the print button by refreshing the page or signing out and back in, but this is only temporary.
