Hi,

I had a meeting with external people this morning, and I recorded the meeting. I'd like to view the record now, however, teams says that I don't have access.

I had accepted the meeting immediately after I received the meeting notice.

The IT engineer in my company told me that it may be some problems in teams. Please refer to following screenshot, in upperleft corner, it shows that I accepted the meeting invitation. However, in Attendees field, It shows the I didn't respond.

Could please let me know how can I view the recap of the meeting?

Thanks

The message in the screenshot is expected behavior for Teams recap with external meetings.

According to Teams recap behavior, only people in the same organization (tenant) as the meeting organizer can access an event’s intelligent recap. External participants, even if they joined the meeting and it was recorded, cannot open the recap or its AI-generated content. This is independent of whether the invitation was accepted or how Outlook shows the response status.

To view the meeting outcome as an external attendee, the organizer (or someone in the organizer’s organization) must instead:

    1. Share the meeting recording file with the external attendee from their OneDrive or SharePoint location, or
    2. Download the recording and provide it through another channel allowed by their organization.

Teams itself will not grant recap access across organizations.

    Dear @KY Chen - A42969,

Thank you for posting your question in the Microsoft Q&A forum.

I apologize for any inconvenience you may encounter when using our services/ products. To help you with the issue, we need more specific information from you:

    • Does your account belong to the tenant of the meeting organizer?
    • Could you please confirm whether you were in the meeting when the recording was made?

Based on the image, it says: "You don’t have access to view recap because you are not part of the same org as the meeting organizer." That typically means the meeting organizer is in a different Microsoft 365 tenant (another company/org), so Teams treats you as an external participant for that meeting. In that case, the meeting recap experience is restricted to the organizer’s organization.

On top of that, even if you clicked record, for meetings/events the recording is stored in the organizer’s OneDrive (Recordings folder) (or in SharePoint for channel meetings). So if the organizer is in another tenant, the file lands in their storage, and you won’t automatically have access unless they share it with you.

In this case, please ask the meeting organizer to share the recording via the meeting organizer's OneDrive or the meeting's SharePoint.

I sincerely hope you understand that the initial steps I suggested may not have completely fixed the issue, as there may still be underlying causes that have not yet been identified. I am here to work closely with you, troubleshoot effectively, and explore every possible solution to ensure the best possible outcome.
