Hi all,

I'm using the new Outlook User's image

and I want to add a rule to automatically forward all incoming emails, but I can't find such functionality in the settings:

User's image

Also, I'm using the new Outlook with an IMAP Gmail account. My display name is set to my email (******@gmail.com), and I can't change it. In account.microsoft.com my display name is correct. Can someone help?

Hi!

Welcome to Microsoft Q&A forum.

Some features behave differently especially when the account is Gmail connected via IMAP.

First, try opening Outlook then check these settings:

  1. Select Settings (gear icon).
  2. Select Mail > Rules.
  3. Select Add new rule.
  4. Enter a rule name.
  5. Under Condition, choose Apply to all messages (and add any extra conditions if needed).
  6. Under Action, choose Forward to (or Forward as attachment) and enter the destination email address.

If this will not work proceed with the steps below.

When the account is IMAP Gmail, that option may not appear because forwarding must be configured on the Gmail server.

You should try this: (Set forwarding directly in Gmail)

Go to Gmail Settings

Click Forwarding and POP/IMAP

Click Add a forwarding address

Enter the email address you want to forward to

Confirm the verification email

Enable Forward a copy of incoming mail

After that, all emails will automatically forward.

In new Outlook, automatic forwarding of all incoming messages is configured through an inbox rule. For accounts and clients that support it, the rule is created as follows:

    1. Open new Outlook.
    2. Select Settings (gear icon).
    3. Select Mail > Rules.
    4. Select Add new rule.
    5. Enter a rule name.
    6. Under Condition, choose Apply to all messages (and add any extra conditions if needed).
    7. Under Action, choose Forward to (or Forward as attachment) and enter the destination email address.
    8. Optionally enable Stop processing more rules so other rules do not interfere.
    9. Select Save.

This creates a server-side rule that forwards all messages. If the Rules node or the Forward to action is not available for the IMAP Gmail account in new Outlook, automatic forwarding for that account is not supported in this client and must be configured on the provider side (for example, in Gmail’s own settings) instead.

For display name behavior, new Outlook uses the account configuration and provider settings for each connected account. The documented mail rules and forwarding features do not include changing the display name for an IMAP Gmail account directly from Outlook; that must be changed where the account is hosted (for example, in the Gmail account settings). Once updated at the provider, Outlook will reflect the new display name when it next syncs the account.
