Microsoft 365 Activation on Multiple Mac User Accounts — One License or Two?

Hi, I’m using Microsoft 365 on a Mac with two separate macOS user accounts (one personal and one for church volunteer work). The Office apps (like Microsoft Word) are installed for both users.

I’ve already activated Microsoft 365 under my personal Mac login using my Microsoft account. However, when I switch to the second (church) login and open Word, it asks me to activate again.

Can I use the same Microsoft 365 subscription across both Mac user accounts by signing in with the same Microsoft account, or do I need a separate license for the second user?

The same Microsoft 365 subscription can be used on both macOS user accounts on the same Mac, as long as both are activated with the same licensed Microsoft account.

Key points from the activation model for Mac:

    • Microsoft 365 for Mac activates per user account by contacting the Office Licensing Service and associating the apps with the signed-in, licensed user.
    • A single licensed user can activate Microsoft 365 for Mac on up to ten Mac devices.
    • Each macOS user profile on the same Mac is treated as a separate user context, so each profile must sign in and activate Office once.

    In this scenario:

    1. Sign in to the second macOS account.
    2. Open Word (or another Office app).
    3. On the Sign in to Activate Office screen, choose Sign In.
    4. Use the same Microsoft account that already has the Microsoft 365 license.

This will activate Office for that macOS user as well, without requiring a second license, because the license is tied to the Microsoft account, not to the macOS login.

A second license would only be needed if the second macOS user account had to be activated with a different Microsoft account that does not already have a Microsoft 365 license assigned.
