How do you paste an Excel data table into a word file? I have easily done this for many years but now the table pastes as an image.

    Hello @Tom Carville,

    Thank you for reaching out.

This behavior can occur because Word automatically chooses to paste the copied Excel content as an image in some situations, usually to preserve the original appearance.

To paste the Excel data as an editable table, you can try the following:

    • Paste the content into Word using Ctrl + V.
    • When the Paste Options icon appears near the pasted content, click it.
    • Select "Keep Source Formatting" or "Use Destination Styles".

    User's image

After choosing one of these options, the content should appear as a regular table that you can edit normally in Word.

You may also find it helpful to review the explanation provided by Q&A Assist, which gives additional background on why this behavior can occur and how Word handles different paste options.

Please give this a try and let me know if the issue persists.

    Kind regards,

To paste an Excel data table into Word so it stays as a table (not an image), use a non-picture paste option in Word.

    1. In Excel, select the data range and press Ctrl+C to copy.
    2. Open the Word document and click where the table should go.
    3. Press Ctrl+V to paste.
    4. Immediately after pasting, click the Paste Options button that appears near the pasted content.
    5. Choose one of these options instead of Picture:
      • Keep Source Formatting – keeps the Excel look and formatting.
      • Use Destination Styles – converts to a Word table styled like the document.
      • Link & Keep Source Formatting – keeps Excel formatting and links back to the workbook.
      • Link & Use Destination Styles – links back to Excel but uses Word’s table style.

If Picture is selected, Word will paste the content as an image that cannot be edited as a table. Selecting any of the non-picture options will paste it as an editable table.

If the default paste behavior has changed to image, repeat the steps above once and choose the desired option; then, in the Paste Options menu, set that choice as the default (if available in the menu) so future pastes use table formatting instead of picture.
