Excel supports inserting rows both above and below the current position, depending on how the command is used.
For standard ranges (not Excel Tables):
- Select any cell in the row where the new row should go.
- On the Home tab, select Insert > Insert Sheet Rows.
- This inserts a row above the active row. Excel’s built‑in sheet row insert is always “above” for normal ranges.
For Excel Tables (structured tables), there is an explicit “insert below” option via keyboard or screen reader commands:
Using keyboard (Windows):
- Move to the row in the table where the new row is needed.
- Press Alt+H, I to open the Insert menu.
- Press:
- A to insert a row above the current row.
- B to insert a row below the current row (available when on the last row of the table).
Using a screen reader (Windows):
- Navigate to the desired row in the table.
- Press F6 until the Home tab is selected.
- Tab to Insert, menu button, then open it.
- Choose:
- Insert table rows above to insert above.
- Insert table row below to insert below (only when on the last row).
On mobile with a screen reader:
- Navigate into the table and to the cell where the new row is needed.
- Open the Table tab from the tab menu.
- Use:
- Insert above to add a row above.
- Insert below to add a row below.
For Gantt charts and trackers, converting the range to an Excel Table will provide a more flexible “insert below” experience and help maintain formatting automatically as rows are added.
