I used to be able to assign color categories to emails.

That option is no longer available. When I google it, it says to customize my ribbon in my email settings. When I try to do that, it is already added but within the flags prompt but it is greyed out . Not sure if I removed something but would like to know how to get it back

Which Outlook version are you using right now, Classic Outlook desktop or the new Outlook app?

Color categories in Classic Outlook usually stay available unless the view or mailbox type changed. Try these:

    • Check your account type

Categories work fully with Exchange, Microsoft 365, and Outlook.com accounts

POP or IMAP accounts have limited category support

Go to File, Account Settings, Account Settings, check the Type column

    • Reset your view

    Go to View tab

    Click Reset View

This restores missing commands tied to the current view

    • Check if Categories is disabled in the ribbon

Right click the ribbon, choose Customize the Ribbon

Under Home tab, look for Tags group

Ensure Categorize is enabled, not nested under a disabled group

    • Try right click option

    Right click an email

Look for Categorize in the context menu

If missing here too, issue is profile or account related

    • Repair Outlook profile

Go to Control Panel, Mail, Show Profiles

Add a new profile and sign in again

Set it as default and test categories

    • Update Outlook

Go to File, Office Account, Update Options, Update Now

Some builds had UI issues that updates fix

If Categories stays greyed out even in a new profile, this usually points to the account type or a sync limitation. Let me know how it goes.

Color categories can disappear or be unavailable for two main reasons in classic Outlook for Windows:

    1. The account type does not support categories (IMAP limitation).
    2. Categories are still there but the command is disabled/hidden in the UI.

Based on the description (Categorize is greyed out in the ribbon), the most likely cause is that the mailbox is configured as an IMAP account, which does not support color categories in classic Outlook.

    1. Check whether the account is IMAP

    1. In classic Outlook, select File > Account Settings > Account Settings.
    2. On the E-mail tab, look at the Type column for the affected account.
      • If it shows IMAP, color categories cannot be assigned to messages in that account.

If the account is IMAP, this is by design and explains why the Categorize command is greyed out.

    2. Workaround if the account is IMAP

Color categories are not supported on IMAP accounts in Outlook 2016 and later. To use color categories again with that mailbox, use one of these supported connection types instead:

    • Add the account as a POP3 account (POP3 supports assigning color categories).
    • If the mailbox is an Outlook.com or Microsoft 365 account, remove the IMAP profile and re-add the account using the default modern configuration described in Add an email account to Outlook. Those connection types support categories.

After the account is added as POP3 or as a native Outlook.com/Microsoft 365 account, the Categorize button should become active, and color categories can be assigned again.

    3. Using categories when they are supported

Once connected with a supported account type:

    1. Right-click an email and choose Categorize, then pick a category.
    2. To create or rename categories, select Categorize > All Categories, then use New to add a category or rename existing ones.
    3. Categories can also be applied to calendar events and contacts using the same Categorize menu.

If the account is not IMAP and Categorize is still disabled, verify that the view is a standard Mail/Calendar/Contacts view and not a special folder type; categories are only available on items that support them.
