Using Classic Outlook on Windows for personal email, calendar, and contact management
Which Outlook version are you using right now, Classic Outlook desktop or the new Outlook app?
Color categories in Classic Outlook usually stay available unless the view or mailbox type changed. Try these:
• Check your account type
Categories work fully with Exchange, Microsoft 365, and Outlook.com accounts
POP or IMAP accounts have limited category support
Go to File, Account Settings, Account Settings, check the Type column
• Reset your view
Go to View tab
Click Reset View
This restores missing commands tied to the current view
• Check if Categories is disabled in the ribbon
Right click the ribbon, choose Customize the Ribbon
Under Home tab, look for Tags group
Ensure Categorize is enabled, not nested under a disabled group
• Try right click option
Right click an email
Look for Categorize in the context menu
If missing here too, issue is profile or account related
• Repair Outlook profile
Go to Control Panel, Mail, Show Profiles
Add a new profile and sign in again
Set it as default and test categories
• Update Outlook
Go to File, Office Account, Update Options, Update Now
Some builds had UI issues that updates fix
If Categories stays greyed out even in a new profile, this usually points to the account type or a sync limitation. Let me know how it goes.
