Using New Outlook on Windows for personal email, calendar, and contact management
New Outlook for Windows does not automatically bring in all old accounts and data. Both adding accounts and recovering old email depend on how Outlook was used before the change.
To restore access to other email accounts in new Outlook:
- Open new Outlook.
- On the View tab, select View settings, or from the File tab select Account info.
- Select Accounts > Your accounts.
- Under Email accounts, select Add Account.
- Either pick one of the suggested accounts or type the email address of the missing account and select Continue.
- When prompted, enter the password and complete any provider-specific steps (for example, Gmail, Yahoo, or iCloud may require enabling access on their website).
- After setup completes, the mailbox and its folders will appear in the folder list in new Outlook.
If the account is a third‑party account that was previously connected only in Outlook.com (web):
- Outlook.com no longer supports adding or syncing new third‑party “connected accounts” (like Gmail or Yahoo) directly in Outlook.com. Those accounts must now be added to Outlook clients instead:
- Use new Outlook for Windows as above, or
- Use classic Outlook for Windows, or
- Use Outlook mobile (iOS/Android) and add the accounts there.
To recover old email stored in a local Outlook data file (.pst) using classic Outlook:
If old mail was stored in a local Outlook data file, it must be opened from classic Outlook (not new Outlook) to see those messages and folders.
- Install or switch to classic Outlook for Windows (if available in the Microsoft 365 installation).
- In classic Outlook, go to File > Open & Export > Open Outlook Data File.
- Browse to the .pst file (for example, in
C:\Users\\<username>\\Documents\\Outlook Files\\) and select Open. - A new folder tree appears in Outlook with all old emails, contacts, and calendar items.
If Gmail mail was previously accessed in Outlook and needs to be migrated into Microsoft 365:
- In new Outlook (or classic Outlook), add the Gmail account:
- New Outlook:
- View > View settings > Accounts > Email accounts > + Add Account.
- Enter the Gmail address, select Continue, and complete sign‑in.
- New Outlook:
- In classic Outlook, export Gmail to a .pst file:
- File > Open & Export > Import/Export.
- Choose Export to a file > Outlook Data File (.pst).
- Select the Gmail account, check Include subfolders, and complete the export.
- Open or import that .pst into the desired Outlook profile as above.
If none of the above accounts or .pst files exist, old messages may only be available on the original mail server (for example, Outlook.com, Exchange, Gmail, Yahoo). In that case, adding each account directly into new Outlook using Accounts > Your accounts > Add Account is required to see the server‑side mail again.
