For GDPR, how does Multi-Geo work?

Hi there

Can we decide on users whose data resides in the EU?
Can we decide on SharePoint Online site collections/libraries/folders that reside in the EU?

Are there any screenshots, that I can see for the user admin panel?

Yes, you can. To configure Multi-Geo, you can get started from here:

Azure Active Directory Connect sync: Configure preferred data location for Microsoft 365 resources

You can also take a reference to the video in this article to help you understand it better: Now available: Multi-Geo in SharePoint and Office 365 Groups.

Setting up and managing your multi-geo environment is done through the SharePoint admin center.

In my SP Admin, I cannot see any location dropdown (just above the Home button in the left menu).
Am I missing something?

We have a CSP agreement and not an Enterprise Agreement if that makes a difference.

Microsoft 365 Multi-Geo is available as an add-on to the following Microsoft 365 subscription plans for Enterprise Agreement customers with a minimum of 250 Microsoft 365 seats in their tenant, and a minimum of 5% of those seats using multi-geo. User subscription licenses must be on the same Enterprise Agreement as the Multi-Geo Services licenses.

Microsoft 365 F1, F3, E3, or E5

Office 365 F3, E1, E3, or E5

Exchange Online Plan 1 or Plan 2

OneDrive for Business Plan 1 or Plan 2

SharePoint Online Plan 1 or Plan 2

As per my knowledge, the Multi-Geo is set on tenant level and can be applied to site level. I'm afraid there is not such option to allow you to apply it for the data owned by specific users. As to a specific site collection, the site collection will be located automatically and subject to the policy of that geo when creating a new site collection. OFC, you can also trigger a site move on a existing site collection using cmdlet like Start-SPOSiteContentMove -sourceSiteURL xxx -DesinationDatalocation xxx. Then, the data in that SharePoint site collection will use data residency of the target destination.

How about for OneDrive? Can we specify specific users in OneDrive so their data is stored in the EU or some other place?

Yes. Each user's OneDrive can be provisioned in or moved by an administrator to a satellite location in accordance with the user's PDL. Personal files are then kept in that geo location, though they can be shared with users in other geo locations.

Got it! One more question, please! If a company has an EA with Microsoft, with 250+ users, etc. is Multi-Geo addon free for them? Or is there any additional charge on top?

Resource mailboxes (Rooms/Equipment) and Shared mailboxes need to be licensed

Microsoft 365 Group Mailboxes moved to Satellite Geos will not need to be licensed for Multi-Geo
